Job description / Role

Employment: Full Time

Responsibilities:
• Keeps accurate records of all team personnel files, certification, and training records.
• Tracks all site personnel badging and NDA records both in physical and electronic form.
• Responsible for scheduling meetings, training courses, Quality Control testing, System commissioning, etc.
• Provides functional support for Security, Fire, and Medical teams.
• Creates Purchase Requests and tracks Purchase Orders.
• Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies for medical, badging, and fire teams.
• Orders medical, badging, and duty equipment for teams.
• Responsible for developing and maintaining internal monthly newsletter.
• Act as point person with all Employee Engagement activities such as team volunteer activities, birthdays, staff events, and appreciation events.
• Compiles, sorts, and audits operational documents
• May attend meetings in place of team management when needed. Takes notes and presents data.

Requirements

• Demonstrated experience as an office manager, administrator, or other similar function. Experience working in a large corporate environment a plus.
• Strong analytical skills.
• The ability to stand or sit for 10 hours or more.
• Be extremely reliable and trustworthy. The position will have access to confidential information and conversations and will be entrusted to keep that information private.
• Strong organizational skills and demonstrated experience with prioritization of work and multi-tasking abilities.
• . Must have experience with Microsoft Office products including Word and Excel.
• Able to work and complete tasks with minimal supervision.
• Ability to be on-call as operational necessity dictates.
• Provide updates, compile and submit reports and presentations of data to team Management.
