JOB DESCRIPTION / ROLE

Employment: Full Time

Responsibilities:

• Coordination across the executive team: work with other EAs to the company’s Executive team to ensure calendars & events are seamlessly coordinated.
• Share best practice where appropriate.
• Travel management: juggle complex and fluid international travel schedules, end to end
• Expenses management: ensure timely and accurate expense reports are submitted
• Manage all aspects of the Berlin office including suppliers (office services, landlords, catering, event management etc.)
• Entertainment: ensure all incoming guests (internal and external) are hosted effectively, including on the ground logistics, meeting coordination and entertainment
• Maintain absolute discretion & confidentiality always
• Be a professional and friendly “public face” for the executives supported
• Expenses management: ensure timely and accurate expense reports are submitted accounts payable management:
• Ensure incoming invoices are approved and processed in a timely manner and checked against budget plans where appropriate
• Project management: ensure timely and accurate management and execution of selected projects, for example, finding new office space, moving, events or organizational topics

REQUIREMENTS

Required:

• Have excellent oral and written communication skills and be proficient at MS Office suite
• Have supported senior executives in a fast-moving environment, preferably hospitality, internet, hi-tech or e-commerce
• Have experience working in a multinational environment (multiple offices, time zones, cultures)
• Have a positive attitude and a pleasant disposition
• Be fluent in English and German, other languages are a plus
• Have excellent organizational and management skills
• Can work under time pressure, with accuracy
• Enjoy a fast pace and constantly changing priorities
