JOB DESCRIPTION / ROLE

Employment: Full Time

Role Purpose:

Responsible for helping manage the Content Program (breakout sessions and related activities) for the Organization’s large-scale, global conference and regional seminars. This role will be involved in coordinating the entire content preparation process, including: call-for-papers/ speakers headhunting, content review committee management, session selection management, scheduling and space management, survey and evaluation management, and speaker support services.The conference content lead should also be able to identify areas for improvement, and implement best practices and process improvements related to the overall management and execution of content-related operations.

Main responsibilities:

The conferences content lead will be responsible for developing the program and the themes of the conferences and the seminars held by the organization. Responsibilities include identifying speakers, coordinating with them regarding both their presentations and logistics requirements, and coordinating internally to make sure that the selected theme logistics requirements are taken into account. Key activities include:

Speakers Management:

• Identify possible speakers and attendees for each of the event sessions, and correspondingly manage the relation with speakers from initial outreach, participation confirmation, and coordination between panel speakers.
• Collect and consolidate speakers Bios
• Collect all logistics details from identified speakers regarding both their travel and accommodation.
• Manage communication with speakers, including emails, preparatory meetings and interviews.

Content Management:

• Manage all aspects of the content program deliverables, project plans, schedules and reporting for all conferences and seminars.
• Work with the Conference Advisory Board and key stakeholders to develop a draft Agenda.
• Collect PowerPoints, and post conference material and interventions.
• Coordinate with the Logistics department to ensure that setup needs for each session are met.
• Provide proposals on the mode of delivery of the sessions, and coordinate with the logistics department regarding the proposed mode implications logistically.
• Conduct all the preliminary research regarding the conference topic, including the aspects of the topic to be covered and the experts to be consulted.
• Collect the proposed content from different involved stakeholders and work with the conferences Director to draft a collective conference brief, conference Agenda, and the synopsis for each of the sessions.
• Full coordination of any of the studies or publications to be presented or launched at the event.
• Investigate the possibility of partnerships with different specialized parties, manage the documentation of partnerships once established, and coordinate with partners regarding conference content accordingly.
• Strategize with key executives on content structure and track development.
• Work closely with the Communication Manager to insure all conference content is available and updated on the Organization website.
• Identify Conference Stakeholder and support in stakeholder management.

REQUIREMENTS

Qualifications:

• Bachelor’s degree in marketing, planning, journalism, Translation, or other relevant related fields with 4-5 years of professional experience
• Preference for experience working in Research and Development.
• Experience with planning and executing conference programs/events would be ideal
• Strong written and verbal communication skills. Proficiency is both Arabic and English Languages.
• Experience dealing with multiple processes, deadlines and details.
• Exceptional research and organizational skills
• Ability to manage and engage a group of senior leaders in a positive and pro-active manner
• Ability to conduct self-directed research and analysis with limited supervision
• Strong PowerPoint, Word and Excel skills
• Availability to travel repeatedly.
