JOB DESCRIPTION / ROLE

Employment: Full Time

The Events Manager will plan, develop and manage all Georgetown University in Qatar (GU-Q) public events (conferences, lectures and cultural activities) from concept to implementation. He/she will also be responsible for managing new student convocation and commencement, shaping the event calendar each academic year and administering events budget. The position will oversee a team of two Events Coordinators.

As this position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a full time, non-sponsored position that requires all applicants to already have the necessary sponsorship to live and work in Qatar. The role is a shift pattern with non-standard hours.

Duties:
• Act as a single point of contact for all GU-Q events.
• Oversee and act as a member of the events team for the provision of all events services at GU-Q, including the fair allocation of events and shift management.
• Coordinate all aspects of the event, including but not limited to, contracting and overseeing catering, photography, translation, decoration, stage, media relations, invitations, advertising and determining the location of the venue.
• Coordinate logistical set up of large GU-Q events, relying on the Events Coordinators for pre-event support and assistance on the day of the event.
• Coordinate with Building Operations team to determine event locations, and to arrange for parking, security, set-up support, handymen help, staging, etc.
• Coordinate with IT team to ensure proper audiovisual set up and services.
• Coordinate with Auxiliary Services team for pantry services, transportation, cleaning and office supplies.
• Collaborate with Finance team in researching catering/hotel/venue options and quotes for larger events.
• Respond to inquiries from vendors, guests and participants regarding the events.
• Supervise entire catering function for event – including contracting the caterer, monitoring the set up and monitoring food hygiene.
• Prepare risk assessment for assigned events, run monthly reports and reconcile departmental business expenses.
• Plan and coordinate visits of guests and/or participants in GU-Q events including international speakers.
• Implement an external customer events provision and charging model.
• Serve as the administrator for the Events Management System.
• Review and update existing Standard Operating Procedures.
• Serve on the Community Events Working Group and provide events management support.
• Coordinate the work of Volunteers.
• Other duties as assigned.

REQUIREMENTS

• Bachelor’s Degree.
• Minimum 3 years of experience planning and managing events, preferably at a higher education or non-profit institution.
• Knowledge and understanding of special events management and conference/event planning.
• Strong oral and written communication skills and the ability to handle a multitude of tasks.
• Proficiency in MS Office.
• Knowledge of the Middle East Region highly desirable.
• Arabic language preferred.
• Events certification preferred.
