JOB DESCRIPTION / ROLE

Employment: Full Time

Operations Manager - ALK

The role of Operations Manager is responsible for supporting the College in gearing for effective operations, through the coordination and management of a team of around 30 staff, generating continuous improvement and controlling costs. Managing the maintenance, security, transport, catering, health and safety, supplies and any other requirements as requested by the college to ensure that the student and employee experience is risk free and logistically organized.

General Facilities Management:

• Responsible for the delivery of safe, efficient and effective Facilities Management services across the International Technical College Alkhobar
• Responsible for the Operations lead of a team of around 30 and for the delivery of the overall operational metrics.
• Overall management of planned and reactive maintenance and refurbishment programmes, contributing to new projects.
• Ensure that the college provides a welcoming and efficient service to members and guests and excellent levels of customer service.
• Assume overall responsibility for, and ensure compliance with, all aspects of applicable fire, health and safety and licensing legislation.
• Assist in the review of CAPEX and OPEX planning.
• Maintain budget control over facilities and equipment.
• Conduct site, facilities and equipment inspections on a routine basis to ensure optimal facility and equipment operations, including compliance with applicable contractual requirements.
• Ensure that maintenance is performed and deficiencies are identified and corrected within a timely manner.
• Prepare monthly sustainability report and establish continuous improvement culture amongst staff in the preparation of this document.
• Verify and track purchase orders and invoices on a weekly basis.
• Respond to inquiries related to the operation of the facilities and facility assets both regular and emergency.
• Evaluate the delivery of the above and record, prepare and present reports to Senior Operations Manager and Director of Operations.
• Formulate and maintain KSA wide communications with other Site specific Operations Managers, through monthly meetings via skype/blue jeans, and shared information via centralized share point.
• Liaise with all other departments to ensure all deliverables have been successfully achieved.

• Act as the first line of support for the campus to resolve all facilities and logistical requests, through guidance and support of the Principal.
• Furniture Logistics
• Manage and coordinate classroom readiness for a smooth and student friendly learning environment as requested by the College. This includes readiness for day-to-day teaching, exams, extra curriculum activities, extra lessons and any other requirements as advised by the college leadership team.
• Coordinate the overall furniture needs across the campus in line with student and employee numbers and as required by the courses offered within the colleges.
• Accommodation
• Ensure that company provided accommodation is maintained and cleaned following the departure of employees and the on boarding of new employees into the business.
• Ensure all review of water and electricity provision is monitored, reported and coordination with finance for swift payment of services to avoid disruption.
Health and Safety
• Respond to Health and Safety incidents reported across the college, working with the H & S Coordinator and Head of H & S in reducing risks.
• Work with a provide support to the college and undertake any other reasonable request by the college leadership team. Provide miscellaneous support requests and flexible service provision with a can do attitude and philosophy

• Proven history of successfully managing a team
• Ability to develop excellent working relationship with both internal and external stakeholders
• Ability to work closely with the Head of H & S to meet OHSA 18001 compliance
• Flexible and adaptable in approach as well as solution focused
• Have the ability to multitask and react positively to changing priorities, as per the nature of this role.

Qualifications & Skills:

• Previous experience working in the GCC
• BSc in Electrical Engineering, Mechanical Engineering, or Facilities Management
• Professional Certificate in Health and Safety (ISOH or NEBOSH) – desirable not essential. Where the post holder does not hold this qualification, commitment to work towards this.
• Member of a certified organization BIFM, CIBSE, RICS, or working towards.
• Demonstrable knowledge in facilities management, maintenance management, compliance, inspections and upgrading.
• Knowledge of architectural design, health and safety regulations, space planning and rationalization, ergonomics, security and inspection practices and relevant legislation/acts including applicable Municipal Standards, Policies, Regulations and Guidelines as required.
• Knowledge and experience developing budget estimates and consultation input into capital and strategic plans and resolve issues and risks
• Microsoft Package experience and the ability to use this fluidly
