JOB DESCRIPTION / ROLE

Employment: Full Time

Our Client is looking for an Administration Assistant with proven experience as an Office Administrator, Office Assistant, Accounts Administrator or similar role.

The main duties and responsibilities of the role are:

• Manage the office deliveries.
• Liaising with clients for approval or modification.
• Liaising with the printers for creative, print proof and deliveries.
• Undertaking administration tasks.
• Arranging and attending meetings.
• Updating CRM Database for new leads and existing leads.
• Preparing proposals for appropriate sales, creative staff and management.
• Handling inward Inquiries and preparing necessary quotations.
• Manage obligations to suppliers, customers and third-party vendors.
• Process bank deposits.
• Prepare, send and store invoices.
• Contact clients and send reminders to ensure timely payments.
• Report on the status of accounts payable and receivable.
• Assisting the sales team to brief media, creative and research staff.
• Track stocks of office supplies and place orders when necessary.

REQUIREMENTS

Requirements

• Outstanding communication and interpersonal abilities.
• Good knowledge of bookkeeping procedures and debt collection regulations.
• Hands-on experience with accounting software.
• Advanced knowledge of Excel (using financial formulas and creating spreadsheets).
• Solid data entry skills with an ability to identify numerical errors.
• Good organizational and time-management abilities.
• Qualifications in secretarial studies will be an advantage.
• Excellent knowledge of MS Office and office management software (ERP etc.)
• High School Diploma; BSc/BA in Office Administration or relevant field is preferred
