JOB DESCRIPTION / ROLE

Employment: Full Time

Job Objective:
To manage the leasing function in terms of strategy, research, forecasting, all new and renewal lease negotiations and lease execution. Assist the Property Manager in all operational duties associated with property management, staff management and reporting.

Major functions include but limited to:

LEASING
• In charge to develop, recommend and implement effective strategies, policies and procedures and best practices in all leasing functions.
• Prepare Market Research Strategy and local and sub-market analysis for existing inventory and competitive properties to ensure accurate marketing and competitive pricing with regards to market rent, tenant improvements, rental abatement, etc.
• In charge of monthly and quarterly leasing activity/performance reports, rent roll, stacking plan, occupancy, fit out underway, key handover, market reports and annual leasing goals.
• Ensure that the highest quality of communication is adhered to with Tenants, Landlords and Clients through reporting, emails, phone calls, and hard copy deliverables indicating our efforts to date for our services
• Ensure all lease documentation/communication is carried out in line with leasing policies and procedures and government legislations.
• Conduct all negotiations ensuring final terms and conditions agreed 30 days prior to lease renewal to allow for terminations / non -renewal notices where applicable
• Ensure supporting lease documentation is collected in support of the presentation to include tenant details / Trade License, POA, Passport, EID, Signed lease, 3rd Party Assignments, Right of First Refusal, Legal Contact, Day to Day Contact / HSE contact / named Fire Wardens and Disabled Tenant
• Ensure full co-ordination between PM / FM / Tenant in regard to Move In procedure
• Coordinate on service charges and ensure the company’s strata properties are collated and paid in a timely manner
• Ensure all payments, utility disconnection, key and access card collection, condition survey etc are completed prior to Move Out procedure
• Ensure apartment is maintained and turned around ready for leasing in the required time frame.
• Manage the Final Settlement process for terminating contracts, early termination of contracts etc and authorize refund of remaining rent / deposit

PROPERTY MANAGEMENT
• Assist Property Manager with daily property management activities
• Prepare a Customer Service Strategy and KPI’s for handling customer complaints. Develop, circulate and report on Customer Satisfaction Surveys in all major properties
• Ensure all customer complaints are resolved or escalated as appropriate in a timely and efficient manner in line with the Customer Service procedure in order to deliver exceptional service

FINANCE
• Input into annual Operating Budget for all buildings – revenue

REQUIREMENTS

Minimum Qualifications / Experience:
• BSc / BA level education and 8+ years leasing and property management experience, with at least 3 years’ experience managing teams.
• 5+ Years of leasing and property management experience working in a mixed portfolio ie residential / commercial / retail and industrial properties, must include high rise projects.
• Experience should include thorough knowledge of the leasing cycle and all associated legislation
• Experience should include comprehensive knowledge of all daily property management operations
• Previous Customer Service training is an added advantage.
