HR & Administration Manager - Dubai

Our client is one of the major, international asset management banks for both private and institutional clients. Its principal aim is the quest for performance and the preservation of its clients’ capital. The organization has deep industry and regional expertise, coupled with robust risk management and operates on a global scale.

This role is a highly diverse and multi-faceted role, which involves direct operational management across several different functions. This is a significant career enhancing role; they certainly do not arise every day and as such we are seeking a highly talented and focused individual. Reporting to the Senior Executive Officer directly in Dubai and with a dotted line into the European Head Office, the role encompasses full operational management for the office, based in the heart of Dubai’s Financial District, the DIFC. Key focus will be on:

• Finance / Accounting – In coordination with various individuals, oversight for all accounting for the office and full review of all Returns and related submissions; liaison with internal and external auditors in conjunction with the Financial Officer. Accountable for monthly payroll and expense reimbursement for employee with full monthly reconciliations. Full budgetary responsibility for cost centre of the office.
• Human Resources – liaison with colleagues in the European HO on all HR / Personnel related matters; preparation of local contracts and Dubai documentation; administration of HR policies, staff appraisals, reviews and all administration related to HR. Responsibility for end-to-end recruitment process.
• Administration – maintenance of all local vendor and supplier contracts; review licences, registrations with the local authorities; prepare applications for permits, retain attorneys to advise, act and represent the company in all dealings with the Central bank, municipal authorities and government agencies, all in accordance and conjunction with the Geneva Legal Department; negotiation and renewal of all health and office insurance. Facilities Management, Business Continuity and Health and Safety issues must be managed appropriately.
• Company Secretary – ensure that the following annual filings are submitted to the relevant government entity; trade license renewal, data protection renewal and audited financials. Periodic filings should also be made for any changes to the structure, management or business model.
• IT & Security – Oversee the IT environment of the office and troubleshoot any problems that may arise; liaise with the Helpdesk and IT teams in Europe.

REQUIREMENTS

We are seeking only those candidates who can demonstrate a strong background across the key disciplines above. The successful candidate will be highly experienced in Finance and Human Resources in an international working environment, preferably within the Financial Services sector and possess a very high standard of education. An excellent communicator, you will work hard to maintain the open and team culture within the office. Client orientated, you will have exceptional organizational and prioritization skills and possess highly advanced computer skills. DIFC experience would be highly advantageous.
