JOB DESCRIPTION / ROLE

Employment: Full Time

Objectives: The HR Assistant is responsible for performing a range of activities in support of the HR Generalist. Working closely with the HR Generalist to aid in planning, directing and coordinating administrative responsibilities and collation of data for HR analytics. Often acts as a first point of contact for any external queries and communication.

Main responsibilities:
• Act as the first point of contact for the business for any external/ internal HR queries
• Prepare email communications utilizing relevant templates for suppliers, vendors and employees ensuring these are provided in a timely manner to relevant individuals
• Liaise with internal stakeholders to collate data required for trackers or HR analytics on behalf of the HR Generalist, sending relevant communications as and when required
• Contribute to team effort through contribution to and accomplishment of projects as and when required or requested
• Maintain excellent relationships with internal and external stakeholders
• Support the business onboarding process through communications between the Group Recruitment Department and Government Relations Manager as and when requested
• Aid in the completion of administrative tasks working alongside the Government Relations Manager including but not limited to scanning documents required for employee cancellation, reminders for visa renewals etc.
• Draft warning letters, employment contracts, confidentiality agreements, employee salary certificates etc. for review of the HR Generalist
• Coordinate medical insurance additions, deletions and renewals of employees after obtaining relevant approval(s)
• Ensure all organizational structures are up to date working alongside the HR Generalist, support staff across other operating countries and payroll reflecting any changes on a monthly basis to ensure accuracy
• Support the HR Operations of other GCC countries with administrative work, communications and answering any queries within the incumbents remit
• Monitor employee leave and requests including relevant communications to Accounts for necessary action
• Enter employee data into database, ensuring all records are kept up to date and maintained
• Maintain employee files to ensure all relevant paperwork is complete, and any outstanding documents are collated and administrating the same
• Work closely with the HR team to ensure the timely completion and execution of relevant administrative formalities including, filing, document control, etc. whilst upholding confidentiality for sensitive information

REQUIREMENTS

Other certifications obtained: Diploma in Human Resources

Nature and length of previous experience: Minimum of 3 years working in an administrative role within a HR environment
