JOB DESCRIPTION / ROLE

Employment: Full Time

Job Summary & Purpose

Ensures all transactions and documentations are processed in a timely and accurate manner and in accordance with the company policies and procedures. The position will be overseeing the leave management and provide accurate and timely employee information to stakeholders whenever required.

Process Key Performance Area

Onboarding
• Registering new staff on biometric within 1 day from date of joining
• Printing access cards within 1 day from date of joining
• Update the payroll team for any new joiner and update the system accordingly

Personal Loans
• Process personal loan requests within 1 day from receiving
• Liaise with the finance team for payment methods

Leave Management
• Calculate leave balances for each employee
• Monitor leaves in Leave Tracker
• Review and process employee leave requests
• Track employees joining from AL and ensure that duty ressumption form is signed and submitted to HR

Attendance Sheets
• Prepare attendance report by the 19th of every month
• Printing Attendance Sheet
• Review attendance sheet after received from businesses
• Coordinate and obtain Line Manager sign-off on attendance sheet

Payroll
• Entry and follow-up of employees’ deductions, loans, additions, commissions, unpaid leaves
• Ensure an error free monthly payroll cycle
• Prepare monthly payroll files in accordance with the finance team of each BU
• Make sure that any benefits changes are reflected to the payroll
• Follow up with concerned for any salary issue when required

Medical Insurance Reimbursement (Assisting the Nurse when required)
• Receive medical claims from employees and process the same with the medical insurance company
• Liaise and follow up on the medical claims for further documents required
• Coordinate with the medical insurance company and employee for reimbursement

Separation
• Receives all work related ID (work, Medical insurance) from resigned or terminated staff
• Instruct IT to cancel any given authorization on the card

Other Activities
• Ensure that the leave tracker is updated on a timely manner
• Prepare all formal Arabic letters either for employees or for company requirement
• Download attendance reports on the 15th of each month for businesses using different bio-metric system than SHQI system

REQUIREMENTS

Knowledge & Skills

Knowledge
• Bachelor or Higher Diploma in business, HR or equivalent
• Excellent excel knowledge
Skills
• Planning, priority setting, problem solving and monitoring skills
• Communicate, both orally and in writing, in a clear and concise manner
Experience
• 2-3 years’ experience in running payroll cycles
Ability
• Demonstrate good numerical ability
• Attention to details
