JOB DESCRIPTION / ROLE

Employment: Full Time

Objectives:

Our organization is seeking to hire a Volunteer System Coordinator who will be in charge of assisting the Project Manager in organizing the ongoing Volunteer Management System project in SO Connect. This task involves monitoring project plans, schedules, software testing, user acceptance, organizing and participating in stakeholder meetings, ensuring timelines are met and providing user training and system documentation.

To be successful as a Volunteer System Coordinator, you will need to be able to work on tight deadlines, be competent in end-user software testing, project planning, using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. A bachelor's degree in a related field of study and at least three (3) years of relevant experience is required for consideration.

Main responsibilities:

• Maintaining and monitoring project plans and schedules
• Organizing, attending and participating in stakeholder meetings
• Documenting and following up on important actions and decisions from meetings
• Ensuring project deadlines are met
• Determining project changes, and following Change Control processes
• Providing administrative support as needed
• Undertaking project tasks as required
• Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project
• Assess project risks and issues and provide solutions where applicable
• Ensure stakeholder views are managed towards the best solution
• Create a project calendar for fulfilling each goal and objective
• Provide user training and documentation
• Assisting Workforce team in volunteer engagement through technology
• Support the Workforce FA in Games time operations on-site

REQUIREMENTS

Education and Skills:

• Bachelor’s degree in business or related field of study
• Three years’ experience in related field
• Experience in CRM, ERP and/or Event Management systems
• Experience with Volunteer/Workforce coordination preferable
• Exceptional verbal, written and presentation skills
• Competency in Microsoft applications including Word, Excel, and Outlook
• Ability to work on tight deadlines
• Ability to work effectively both independently and as part of a team
