Residential Property Coordinator

JOB DESCRIPTION / ROLE

Employment: Full Time

Job Objective
To assist the Residential Property Supervisor to deliver premier property management and customer service to UDC tenants.
• To assist the Residential Property Supervisor in the management of UDC residential properties both residential units and common areas.
• Routinely visit assigned areas to ensure residential units and common areas are maintained to the highest standard to enhance property values and maximize leasing potential.
• Coordinate with the Residential Property Supervisor and service providers in the preparation of apartments and the handover of UDC owned units to tenants.
• To assist the Residential Property Supervisor with the lease renewal process which shall include early terminations and lease clearances

Accountabilities:
• Coordinate with the Facility Maintenance Dept. Facility Management Service Provider, and cleaning Services Provider in the preparation of residential units meeting lease commencement deadlines.
• Routinely inspect vacant unit and common areas to maintain UDC’s residential Assets
• Monitor the works executed by the facility management co. and contractors to ensure the highest quality is being provided.
• Prepare reports and documents as instructed by Property Supervisor including weekly reporting, meeting agenda’s and meeting notes.
• Maintain a database for all property management operations and ensure all unit information and resident forms are received and updated. This includes updating any changes to the information currently held in reference to tenant’s and lease agreements.
• Conduct weekly meetings with facility management co. to discuss outstanding and new issues which may arise. This will require the issuing of meeting agendas and meeting minutes.
• Jointly coordinate site inspections to formulate snag lists, obtain refurbishment SOW and raise PR’s to swiftly prepare units for re-lease.
• Physically visit apartments where refurbishment is complete to sign off on completion reports for invoicing.
• Cross check invoices and work orders confirming work completion prior to issuance of invoice to Property Supervisor.
• Conduct quarterly key audits to have an overview on all keys in our possession aiding risk control.
• Distributing of access cards to residents and keeping track of the distributed cards
• Manage and allocate car parking allocations.
• Provide high quality customer service to all UDC tenants, whilst maintaining verbal and written communications with tenants and service providers on issues related to the management of UDC owned residential properties.

REQUIREMENTS

• 3 to 5-year experience in property management or related discipline.
• Proficiency in MS Office applications is essential
• Proficiency with AutoCAD beneficial
• Knowledge and understanding of residential property management methods and standards.
• Related customer service experience is essential.
• Knowledge of unit co-owners or body corporate and strata management processes is preferred.
• Previous experience in MEP field is preferred
