JOB DESCRIPTION / ROLE

Employment: Full Time

General Responsibilities:
- Comply with QM’s set policies, procedures, management and regulatory requirements, and International Financial Reporting Standards (IFRS).
- Work closely with his direct reporting line in ensuring that all Accounts Receivable transactions are recorded in compliance with QM’s accounting procedures and IFRS, such that Financial Statements are accurate.
- Assist in the implementation of the accounting system, procedures, and internal controls.
- Prepare and generate, under the directions his direct reporting line reports and statistics detailing Accounts Receivable transactions as and when required.
- Assist his direct reporting line in carrying out Accounts Receivable period-end close including accounts analysis, if and when required.
- Assist in coordinating with the internal and external auditors, and provide all required information to the concerned parties in order to facilitate the preparation of internal and external audit reports, respectively.
- Uphold highest professionalism and integrity in delivering services to internal and external Finance Customers. Proactively seek customer satisfaction in the processing of requests with a sense of care-taking and urgency.
- Stay abreast of the latest applicable finance and accounting leading practices.
- Carry out proper archiving of all documents and statements pertaining to Accounts Receivable accounts.
- Assist his direct reporting line in ensuring that the Accounts Receivable books of account are kept up-to-date and that accounting transactions are properly checked and reviewed to ensure accuracy of records.
- Receive, process, update and safe keep Accounts Receivable forms and other relevant documents.
- Keep his direct reporting line informed of significant Accounts Receivable related issues that may jeopardize the achievement of QM’s goals.
- Identify areas for professional self-development, and act to enhance such.
- Ensure high standards of confidentiality to safeguard commercially sensitive information

Customer Master Data Maintenance Responsibilities:
- Update customer master file with the respective accounting information (based on duly approved Request for Customer Master Update from relevant Business Area). Coordinate with Business Area for any issue identified and take necessary action.

Invoices and Debit/Credit Memo Processing Responsibilities:
- Prepare / generate and send complete and accurate customer invoices (manual and auto-generated).
- Identify the need to enter debit / credit memo after invoice processing and obtain supporting documents for debit/ credit memo information.
- Prepare / generate complete and accurate debit / credit memo and apply to appropriate customer invoice(s). Send the debit / credit memo to Enterprise Group for client communication.

Receipts Processing Responsibilities:

For Receipts through Direct Deposits/ Electronic Fund Transfers (EFT)
- Identify transfers and apply receipts related to customer invoices.
- Perform necessary actions to rectify any issue identified by his direct reporting line.
- Re-apply/reverse receipts (if necessary)

For Cash / Cheque and Miscellaneous Receipts
- Receive supporting documents from the Cashier, enter receipts in the system and apply against invoice(s).
- Coordinate with Cash Management Unit for the clearance of check payments received and obtain supporting documents.
- Remit receipts in the system.
- Perform necessary actions to rectify any issue identified by his direct reporting line.

Accounts Receivable Period End Process Responsibilities:
- Ensure booking of all AR related transactions prior to Period End Closing as instructed by his direct reporting line.
- Moreover, provide assistance to his direct reporting line as and when required on Accounts Receivable related matters.
- Provide assistance to the Head of Accounts Receivable as and when required on Accounts Receivable related matters

REQUIREMENTS

- Sound knowledge of ERP with emphasis on AR module
- Expertise in credit and collection best industry practices
- Knowledge of accounting standards
- University degree in Business Administration with specialization in Accounting
- About 1-3 years of post qualification related experience of which a minimum of 1 year should be in a similar position / responsibility

The Qatar Museums, is in charge with the oversight and development of the national system of museums for the State of Qatar.

The QM was created in December 2005 to combine the resources of all museums in the country and to further develop their capacity for collection and preservation of historic objects.
