JOB DESCRIPTION / ROLE

Employment: Full Time

Job Summary
Responsible for the overall management and control of projects related documents and data during the project lifecycle stages.

Job Specific Competencies:
- Technical knowledge of the Document Control system
- Plan, coordinate and evaluate both their own and the Document Controller's schedules to meet project requirements through effective time management
- Strong communication skills, good understanding of English and good written grammar

- Initiative to undertake assignments with minimal supervision provided by the Project Document Control Manager
- Analytical and problem-solving skills
- Encourage teamwork to develop and maintain an effective team environment

Key Task and Responsibility:

This role will
- Provide training to new users and Document Controllers on the project
- Ensures identification of documents and compliance with standard templates and formats
- Perform quality and compliance checks on all documentation before issuing.
- Reporting on the progress of documents
- Providing Document Control support to project team members in retrieving documents
- Ability to work accurately and efficiently.
- Assist Project Document Control Manager with implementation and application of document control procedures and work practice for use on all projects during the design and construction phases
- Coordinate and prioritize work requests to meet project and construction requirements
- Register and maintain documents in the Electronic Document Management Systems
- Understand and maintain document management objectives in accordance with the job function
- Ensure external engineering contractors follow the standard, procedures work instructions and specifications
- Timely submission and distribution of reports & data to the Project Management Team as per project distribution matrix
- Manage project files from project start to close out
- Work closely with document management & control in other areas to ensure procedures, standards and work instructions are maintained and modified as required

Additional responsibilities:

Administrative duties
- Perform disposal of obsolete documents during project close out in accordance to project requirement
- Undertake audit processes and procedures upholding the principles of continuous improvement
- Manage transmittal of information between Company and Contractor and project and other company organizations ensuring appropriate database/log entries for tracking purposes

REQUIREMENTS

Experience Required:
- Min 3 - 5 years relevant organizations experience in a similar role in Document control and record management
- Possess good knowledge in document control and management processes, standards and ISO standards.
- Must have knowledge on ACONEX.
- Mature, proactive, take initiative and well organized
- Systematic and able to work under pressure
- Meticulous and able to follow through with tasks promptly
- Able to work independently as well as in a team

Auxiliary Requirements:
- Must be able to communicate confidently in both written and spoken English.
- Proficient in MS Office applications (Excel, Words and PowerPoint)
- Must have experience working with an Electronic Document Management System (EDMS)
- Experience with SharePoint is advantageous
- Arabic translation advantageous but not essential.
- Middle East experience is essential
