Summary
Role purpose
Lead the onsite planning and delivery of conferences, social events, and incentives booked at Grand Hyatt Red Sea (and selected Miraval wellness group programs), ensuring flawless execution, upsell, and guest satisfaction.
Key responsibilities
- Act as primary client liaison post-contract; conduct kick-off calls, BEO handover, and detailed planning (rooms, space, F&B, AV, décor, security, transportation, wellness add-ons).
- Create and own event critical path, function sheets/BEOs, diagrams, and run-of-show; chair internal pre-cons and daily ops briefings.
- Coordinate cross-functional teams (Culinary, Banquets, AV, Spa/Miraval Guides, Front Office, Housekeeping, Security) to deliver event specs.
- Maximize revenue via menu engineering, space optimization, upgrades, and ancillary upsell (spa, experiences, activities).
- Manage changes, guarantees, billing instructions, credit approvals, and deposit schedules in line with policy.
- Ensure compliance with safety, local regulations, and brand standards; conduct risk assessments for high-profile events.
- Oversee onsite client service, issue resolution, and post-event debriefs; drive repeat and referrals.
KPIs
- Event satisfaction scores & post-event survey results.
- Banquet/C&E revenue, average check, and upsell contribution.
- BEO accuracy and change control adherence.
- Billing accuracy, DSO for group/event folios.
- Repeat/Referral rate and ancillary revenue.
Qualifications
Qualifications & experience
- 4-6 years in event planning/operations for luxury hotels/resorts; complex/multi-venue experience preferred.
- Strong production knowledge: AV, staging, social protocol, wellness programming.
Other requirements
Onsite role with extended hours during peak events; weekend/public holiday coverage as required.
