JOB DESCRIPTION / ROLE
The Executive Assistant to the CEO provides high-level administrative support to the CEO in a dynamic and fast-paced exploration and mining company. This role involves managing the CEO's schedule, facilitating communication between departments, preparing reports, and ensuring smooth day-to-day operations of the executive office.
Responsibilities:
Administrative Support
• Manage and maintain the CEO's calendar, schedule appointments, and coordinate meetings.
• Prepare and organize documents for meetings, including reports, presentations, and agendas.
• Handle confidential correspondence and maintain discretion at all times.
Communication Management
• Act as the primary point of contact between the CEO and internal/external stakeholders.
• Draft, proofread, and distribute emails, memos, and other official correspondence on behalf of the CEO.
• Liaise with department heads and team members to facilitate smooth communication.
Coordination and Follow-Up
• Track key projects and deliverables, ensuring deadlines are met.
• Coordinate and follow up on action items discussed during meetings.
• Assist in preparing updates and progress reports for the CEO.
Travel and Event Management
• Plan and coordinate the CEO’s travel arrangements, including flights, accommodations, and itineraries.
• Assist in organizing company events, conferences, and team meetings.
Documentation and Reporting
• Prepare detailed reports and presentations on company performance, market trends, and operational updates for the CEO.
• Maintain organized records and files for quick and efficient access.
Office Operations
• Assist in managing office operations, including procurement of supplies and coordinating with vendors.
• Handle special projects assigned by the CEO, ensuring timely and effective completion.
Support for Strategic Initiatives
• Conduct research and gather data to support the CEO in strategic decision-making.
• Participate in planning and implementation of corporate policies and initiatives as directed.
Requirements:
• Education: Bachelor’s degree in Business Administration, Management, or a related field.• Experience: Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in the mining or exploration sector.
Skills:
• Excellent organizational and time-management skills.
• Strong communication skills (written and verbal).
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
• Ability to handle sensitive information with confidentiality.
• Strong problem-solving and multitasking abilities.
