JOB DESCRIPTION / ROLE

Employment: Full Time

- Receive and screen phone calls and emails and redirect them as needed
- Greet visitors and direct them to the specialized employee
- Responsible for ordering office supplies
- Maintain records management system
- Keep records in both formats electronic and hard-copy
- Make sure the confidential information and records are kept secure
- Prepare agendas and make arrangements for CEO's meetings
- Organize the CEO’s office
- Make travel arrangements for the CEO and other employees in collaboration with the Human Resources Officer
- Attend meetings and record minutes of meeting
- Meet CEO’s visitors when he is unavailable and deliver notes to the CEO
- Manage and maintain CEO’s schedule
- Prepare invoices, reports, memos, letters, presentations and other documents, using Microsoft Word, Excel, and/or PowerPoint as directed by the CEO
- Build a good relationship with the employees so that the culture of the organizations is transferred and absorbed by the employees
- Perform other tasks as directed by the CEO

REQUIREMENTS

- Saudi National (preferred)
- Bachelor degree in Business Administration or related field
- Minimum experience of three years as Executive Secretary or similar administrative role
- Fluency in English and Arabic; writing and speaking
- Age between 25 and 35
- Elegant appearance
- Proficiency in Microsoft Office
- Excellent communication skills
- Time management
- Integrity and confidentiality
- Self-organized
- Ability to work under pressure
- Ability to multitask
