JOB DESCRIPTION / ROLE
Duties:
• Prepare procurement of parts and materials for maintenance department.
• Analyze quotations and make recommendations.
• Review catalogs, industry periodicals, directories, trade journals, and Internet sites, and consult with other departments to locate necessary goods and services.
• Initiate contact with vendors to check on supply and equipment availability, invoices, purchase orders, and contracts.
• Work cooperatively with concern department to determine appropriate specifications, sources, availability, pricing, shipping, and receiving.
• Test supplies and equipment offered by suppliers.
• Prepare and maintain vendor database and bidder lists.
• Prepare correspondence, forms, manuals, reports, purchase orders, and payment authorizations.
• Maintain physical and computerized files for the department
• Assist with warehouse duties as needed
REQUIREMENTS
• Bachelor Degree
Special Knowledge/Skills:
• Knowledge of procedures for purchasing and invoicing supplies and equipment
• Ability to work with numbers in an accurate and rapid manner
• Knowledge of formal bid procedures
• Ability to write clear bid specifications, test materials, and evaluations, and analyze vendor bids
• Proficient keyboarding and file maintenance skills
• Proficient in Word and Excel programs
• Ability to deal effectively with vendor representatives’
• Effective communication and interpersonal skills
