Our newest opportunity is for a talented Senior Facilities Administration Coordinator to join our award-winning team based in Riyadh, Saudi Arabia .
This position is responsible for providing operational support to senior FMA management, covering service areas within, O&M, Administration, Finance, Technical services.
Responsibilities
We envisage success in this role to include:
- Oversees activities related to hard FM services (HVAC/MEP/Fire Safety) escalating issues as appropriate.
- Build/ maintain good working relationships with external parties.
- Responsible for the creation and compilation of financial forms, databases and reports.
- Liaise with finance regarding departmental budgets, LPO's and invoicing.
- Supervision of tasks and output for level 1 and 2 staff.
- Involved in the procurement process for equipment, goods and services as per corporate guidelines.
- Coordinates travel bookings and logistics in relation to business travel and mobilisations.
- Provides facilities infrastructure support for IT department.
- Appropriate communication with the wider FM&A team.
- Coordinates Facilities projects within an office as requested .
- Organizes staff security and/or access cards.
- Acts as a liaison for the following groups: Contractors/service providers, Vendors/suppliers, Property owners'/Landlord's reps, Local authorities.
- Manages routine and emergency building maintenance and records.
- Contributes to regular evaluation of the facilities.
- Ensures that all equipment and other facilities are working properly.
- Oversees cleaning, repairs and maintenance of the facilities.
- Participates in safety campaigns to ensure there is a culture of safety in the office .
- May assist in ensuring that office attendants, print room attendants and messengers follow the established policies and procedures as applicable to their positions.
- Support staff on the correct use and care of equipment and other facilities .
- To ensure SLA's are upheld and standards are maintained seeking feedback from end users as necessary
- Work with Facilities and Administration Manager to plan/coordinate office renovations, space allocation and equipment purchases .
- Provides ad hoc support and coordination between wider organization and FM&A suppliers when required
- Help support and coordinate office moves.
- Assists in printing and reprographics delivery.
- Assists in housekeeping and general services.
- Assists in monitoring printing and reprographics costs.
- Participates in monitoring office expenses for housekeeping and general services.
- Performs other duties as assigned.
REQUIREMENTS
Qualifications
- To be successful in this dynamic opportunity, we envision that your career journey to date will include a minimum of 5 years work experience partnered with a Bachelor Degree in a related field.
- Communication skills in English are essential and Arabic is advantageous.
