Job Description

The Role

Key Deliverables and Responsibilities

Planning & Organizing:

- Must possess excellent commercial and analytical skills.
- Ability to work with abstract data, analysis and consolidation.
- Must be proficient with MS-Excel, MS-Word, MS-PowerPoint and MS-Outlook.
- Must be familiar and worked with hotel reporting tools (Fidelio, Opera, Delphi, etc.).
- Strong business ethics.
- Must be multi-tasking and goal-oriented.
- Ability to communicate effectively in oral or written form to all levels of management.
- Ability to analyse data and effectively report findings/observations.

Operations:

- Answer phone calls & take messages related to meeting & events.
- Prepare and manage correspondence, reports and documents.
- Handle incoming mail and send mails to designated personnel or customers.
- Set up and maintain filing systems
- Set up work procedures
- Collect information maintain databases.
- Maintains the Sales and Catering PMS system as per the company standard
- Communicate verbally and in writing to answer inquiries and provide information
- Prepare for meetings
- In charge of the distribution of the banquet event orders
- Ensures that all lead requests are handled as per the policy and not exceeding the lead handing timeframe policy
- Fully aware of the available equipment in the hotel Performs and controls with team all the above-mentioned aspects in accordance to Corporate
- Complies with any reasonable requests made by the management to the best of your ability
- Up sells in house products i.e. flowers to increase Meetings and Events revenue
- Yields all leads prior to the offer letter being sent out, in terms of, venue assigned or rates offered
- Assures the guest pays the required deposit in a timely manner as per the contract.
- Regretting business should be cross sold to other sister property.
- Supervision and communication with M&E Operations during events and assuring guest satisfaction throughout the event.
- Inspect function rooms on a daily basis
- Collaborates with outside supplier's to guarantee proper set up & for them to abide by the policy and procedures of the hotel.
- Provides functional assistance and direction to Meetings and Events Operations team
- Follows up on event orders to assure clear line of communication with other departments, especially banquets operations and the kitchen
- After Sales to keep the relationship with the customer for future business
- Arranges or conducts site inspections of the hotel's facilities
- Conducts/assists in staff briefings and oversee to assure smooth flow of the operations.
- Inspects the meeting rooms before the event according to the guest's requirements.
- The following performance will have to be improved on a daily basis:
- Quality levels of product and services
- Guest satisfaction via the Event Questionnaires
- Overall maintenance of the meeting rooms and equipment will need to be checked monthly with the F&B and Operational team
- To fully comply with the hotels credit policy in obtaining pre-payment or approved credit letters for all events
- Complies with any reasonable requests made by the management to the best of your ability

REQUIREMENTS

Administration:

- To report any equipment failures/problems to the Maintenance Department
- Pass any maintenance requests to the Maintenance Department.
- To participate in any Training/Developments schemes as recommended by senior management.
- To comply with any reasonable request made by management to the best of your ability.
- Is familiar with all relevant company documentation and relevant OSMs for his/her field of responsibility.
