JOB DESCRIPTION / ROLE
Assist with all the internal Academic Programs affairs and the administrative day-to-day operations, functions and duties of the Office of Academic Programs. UAE National
Activities
- Assist in preparing accreditation documents (photocopying documents, scanning, binding, etc…)
- Collect and compile course portfolios for all courses taught (this will require scanning, photocopying and copying materials provided by the faculty.
- Handle Theses process (from prospectus to final submission) for both Master and PhD students
- Enable appropriate access to information such as course syllabi and course portfolios as well as maintain historical information
- Work closely with the Chair of the Academic Performance Committee in obtaining essential feedback/information from relevant personnel and compiling case summaries of petitioning students. Communicate decisions to students and follow up when required.
- Liaise with other departments to keep track of graduate student’s status e.g. confirm the graduate list to confer degree
- Schedule meetings with students, faculty, guests and committees; handling all meeting logistics, including arranging for room booking and taking meeting minutes.
- Assist in compiling the Teaching Assistant assignments.
- Coordinate events’ logistics; transportation, catering set-up and room booking.
REQUIREMENTS
- A minimum of two years of work experience in an educational/ administrative setting.
- Relevant post-secondary Diploma in Office Administration.
- A Bachelors Degree would be an asset.
- Excellent verbal and written communication skills
- Ability to work independently, prioritize, work under pressure and meet deadlines.
- Strong word processing skills and a high comfort level with computers and Internet and the Microsoft Office suite of products.
- Strong administrative and organizational skills
