JOB DESCRIPTION / ROLE

Employment: Full Time

To ensure the business's efficacy, efficiency, and security, the candidate will be responsible for organising and planning office operations. Additionally, they will be responsible for providing senior management and other employees with all the administrative and secretarial assistance they require.

Client Details

Our client is a leading global provider of financial services and a recognised industry pioneer in deploying various banking technology channels. For their office in the DIFC, they are looking to hire an administrative assistant who will directly report to the head of the office and support the business and the company's growth.

Description

* Support and administrate all office filing systems, check the mailbox at the office and secure office equipment for incoming hires.
* Primary point of contact for all IT-related issues, including follow-up on IT requests as needed.
* Oversee office cleanliness and upkeep.
* Invoice processing, maintaining a petty cash journal as well as cash and, as needed and generating statements for the accountant.
* Serve as the executive's primary contact with internal and external clients.
* Carry out the duties of answering calls, handling correspondence, and handling requests and inquiries professionally.
* Maintain a diary, schedule calls and meetings, send out reminders and organise travel.
* Managing incoming calls, emails, and other communications, ordering supplies and maintaining the office in good operations
* Assisting the wider team with administrative functions when required.

REQUIREMENTS

* Diploma or Bachelor's degree is highly regarded.
* Candidates with prior experience with a background in professional services will be given preference.
* Fluent in English (Speaking & Writing).
* Solid expertise with Microsoft Office Suite.
* Switched on personality with the ability to work independently, effective time management skills, setting priorities, and multitasking.
* Excellent interpersonal, time management, adaptability, and multitasking abilities.
