JOB DESCRIPTION / ROLE

Employment: Full Time

We are seeking a highly organized, proactive, and detail-oriented Administration / Personal Assistant to support the Head of Sales in Tabani Real Estate LLC.

Responsibilities:

- Schedule and manage the Head of Sales' calendar, including meetings, appointments, and travel arrangements. Prioritize and manage time effectively to ensure all commitments are met.
- Act as the primary point of contact between the Head of Sales and internal/external stakeholders. Handle calls, emails, and correspondence on behalf of the Head of Sales, ensuring timely and appropriate responses.
- Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items. Coordinate with other departments to ensure all materials are prepared in advance.
- Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Assist in the planning and execution of various projects, including sales initiatives, events, and reports. Track progress and deadlines to ensure timely completion.
- Handle general administrative duties, including filing, data entry, expense reports, and office management. Prepare presentations, reports, and other documents as needed.
- Maintain strict confidentiality of all sensitive information, ensuring that business and personal matters are handled with discretion.
- Build and maintain relationships with clients, vendors, and colleagues to support the Head of Sales in achieving business objectives.

Requirements:
- Proven experience as a Personal Assistant or in a similar administrative/support role.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, with strong attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with office management software and tools.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Positive attitude, proactive approach, and adaptability to changing priorities.
- A bachelor’s degree or equivalent experience in administration or a related field is preferred.
