JOB DESCRIPTION / ROLE
The Role:
The primary function of this role is to provide administrative support to the Chief Executive Officer of this well known, financial institution based in DIFC.
Roles and Responsibilities
* Work closely with the CEO to ensuring he is fully informed, has appropriate information for upcoming commitments
* Coordinate CEO schedule of events and organise and manage complex diary plans and appointments, including travel arrangements, hotel bookings and any other bookings as required.
* Arrange Board meetings and liaise with members as appropriate.
* Follow up on attendance, preparation of the meeting materials and organization of catering.
* Managing the agenda of senior management team meetings, off-sites and all staff meetings.
* Prepare and organise all communication and records.
* Manage filing of documents, both personal and corporate.
* Assist and support corporate Public Relations, including liaising with key individuals.
* Provide audio and copy typing.
* Provide support to the CEO on personal and family documentation, travel and visa arrangements as required.
* Prepare expense claims and reconciliation.
* Assist with basic accounting.
* Undertake general administrative duties such as photocopying, binding packs, reports, CVs and any other administration requirements
* Use Microsoft Suite to an advanced level to provide required reports, data and presentations
REQUIREMENTS
Skills Required:
* 8-10 years EA experience at MD level or above
* Native Arabic speaker with strong grasp of written and spoken English
* Strong organizational skills
* Ability to multitask
* Excellent attention to detail
* Strong interpersonal skills and the ability to build relationships with key stakeholders, staff, board members and clients
* Proactive approach to problem-solving with strong decision-making capability
* Emotional maturity and positive demeanor
* Resourceful with the ability to also be extremely effective independently
* Ability to handle confidential information with discretion
* Adaptability
* Ability to achieve high performance goals and meet deadlines in a fast paced environment
