JOB DESCRIPTION / ROLE

Employment: Full Time

•Provide proactive and high quality support, without the need for formal instruction
•Full management and responsibility of 2 diaries ensuring Man-aging Director’s and Transport Consultant’s time is utilised con-structively
•Proactively filter, respond to and follow through on all queries, calls and emails
•Excellent communication with Managing Director and Transport Consultant ensuring they are continually aware of changes, up-dates, issues, outcomes and are fully prepared/briefed for any meetings
•Provide excellent communication on behalf of Managing Director and Transport Consultant ensuring that they are represented professionally and appropriately, both internally and externally by adapting complex messages to suit the required audience
•Provide administrative support and prepare Report and letter writing
•Together with the Accounting department, handle the invoicing
•Full management and coordination of internal and external meetings
•Produce/prepare presentations and documents for meetings
•Provide internet search for information related to Business and classify it
•Travel logistics in the United Arab Emirates and abroad, includes preparing and managing itineraries (immigration formalities)
•Prepare Travel & Expenses documentations for validation and ensure follow-up
•Facilitate coordination with office building owner for office management
•Manage office equipment and supplies
Events management
•Organize events
•Attend trade shows and communicate effectively with visitors
•All other activities necessary to conduct the Business

REQUIREMENTS

•Fluent in Arabic and in English
•Knowledge of French would be an asset
•Proficient in MS Office
•Extremely good organisational and planning skills
•Able to multi-task and prioritise in a demanding environment
•Discrete – comfortable and experienced dealing with confidential information
•Self-assertive – able to manage a variety of personalities, internally and externally
•Able to develop and maintain good working relationships at all levels
