JOB DESCRIPTION / ROLE
Charterhouse is working with a boutique investment firm, who are looking to hire an Executive Administrative Assistant to support an Executive Director and handle Administrative Duties within their Dubai Office.
The duties will include but not limited to: welcoming guests and clients into the business with a professional manner, handling correspondence such as answering all incoming telephone enquiries, making outbound calls, along with managing emails. Prepare for presentations by scheduling meetings for management and booking meeting rooms, ensuring the room is well equipped for the meeting to take place. The Executive Administration Assistant will also assist with the construction of PowerPoint Presentations.
This role will assist in the smooth running of the office which may also include negotiating with suppliers, contract and license renewals, liaising with landlords, responsible for facilities management and health and safety, and assisting with expenses. The Executive Administrative Assistant will put together expense reports, handle document filing, photocopying and scanning documents and any adhoc tasks where required. As a proven administrator; they will be highly organised, able to manage tight deadlines and represent the business in the best light at all times.
Requirements:
To be considered for the role, it is essential that the candidate have a minimum of 2 years administrative experience ideally within professional or financial services however, this is not essential. In addition to exceptional customer service skills, the ideal candidate must have excellent communication skills in English, both verbal and written, Arabic is an advantage but not essential.The successful candidate will already be residing in Dubai, ideally possessing UAE working experience. They should be a highly motivated individual, with exceptional organisation skills and the ability to work within a fast-paced environment, whilst demonstrating working well within a team.
