JOB DESCRIPTION / ROLE

Employment: Full Time

We are currently seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to our dynamic Managing Director. This is an exciting opportunity to join a fast-paced and innovative environment at the heart of Dubai's business hub.

Responsibilities:

Diary Management:
• Effectively manage the Managing Director's diary, ensuring optimal scheduling and coordination of appointments, meetings, and business engagements.

Travel Coordination:
• Handle complex international and domestic travel arrangements, including flights, accommodations, and ground transportation, optimizing efficiency and minimizing disruptions.

Meeting Preparation:
• Prepare and coordinate materials for internal and external meetings, minutes, ensuring the Managing Director is well-prepared and organized.

Excel Proficiency:
• Utilize advanced Excel skills to create reports, presentations, and financial documents as needed.

Confidential Project Support:
• Provide support on confidential projects, maintaining a high level of discretion and professionalism.

Banking and Finance:
• Facilitate banking transactions, including wire transfers and reconciliations. Maintain accurate financial records and ensure compliance with internal processes.

Commercial Acumen:
• Strong business acumen and a commercial mindset with the ability to understand and navigate complex business environments.

Confidence and Composure:
• Demonstrated confidence and composure in high-pressure situations, coupled with the ability to make informed decisions swiftly.

Communication Skills:
• Excellent verbal and written communication skills, with the ability to articulate ideas and strategies effectively.

Business and Personal Support:
• Balance responsibilities with a focus on 75% business-related tasks and 25% personal assistance to the Managing Director.

Adaptability:
• Ability to thrive in a fast-paced and dynamic work environment, demonstrating adaptability and flexibility.

REQUIREMENTS

Qualifications:
• Minimum 5 years of proven experience as an Executive Assistant to a Managing Director or CEO in a corporate setting.
• Exceptional organizational and multitasking skills, with an acute attention to detail.
• Proficient in Microsoft Office Suite, particularly Excel.
• Ability to handle confidential information with discretion and professionalism.
• Strong communication skills, both written and verbal.

Education:
• Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
