JOB DESCRIPTION / ROLE

Employment: Full Time

• The Executive Assistant provides executive support in a one-on-one working relationship.
• The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO & Chairman.
• The Executive Assistant also serves as a liaison to the CEO, Chairman and other Senior management teams, organises and coordinates executive outreach and external relations efforts; and oversees special projects.

Requirements:
• Support and ensure the Company’s workplace culture is consistent with the company's Core Values: DRIVE.
• Acting as the administrative point of contact between the CEO office and internal/external clients to ensure efficiency at all times.
• Prepares and distributes minutes of meetings and follows up on actions as necessary.
• Monitors follow through on decisions taken at meetings and prepare status reports as necessary.
• Prepares agendas and other material for the Executive Management & Key Personnel for use at official meetings.
• Assists Management with preparation of presentation materials for projects.
• Arranges travel itineraries and hotel accommodation for Executive Management.
• Responsible for calendar management, requiring interaction with domestic and international clients, to coordinate a variety of meetings.
• Arranges appointments and maintains all the Executive Management & Key Personnel calendar and ascertains which events require their presence.
• Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
• Ensures that correspondence intended for Director & Key Personnel signature is accurate and properly addressed.
• Maintains an organized filing system of paper and electronic documents.
• Handles all emails and correspondence confidential and sensitive matters with discretion.
• Acts as the point of contact between the executives and internal or external colleagues
• Maintains up-to-date lists of all the domestic and international clients.
• Works closely with the Directors to coordinate and launch email campaigns to consultants, clients and potential clients.
• Uses various software, including word processing, spreadsheets, databases, and presentation software.
• Takes initiative in CEO & Key Personnel absence.
• Prioritizes and manages multiple projects simultaneously and follow through on issues in a timely manner.
• Seeks greater role in projects within administrative and other areas of competence.
• Updates and chase delegated tasks to ensure progress to deadlines.
• Contributes to team effort by accomplishing related results as needed.

Salary:
AED 25,000 to 30,000 per month inclusive of fixed allowances.
