JOB DESCRIPTION / ROLE
Key Responsibilities:
Executive Office Management:
- Oversee all administrative tasks for the executive office, ensuring smooth daily operations.
- Manage complex and dynamic calendars for executive leadership, scheduling meetings, appointments, and travel.
- Prepare and process visa applications, permits, and travel arrangements for executives, ensuring timely and accurate submissions.
- Maintain confidential and sensitive information with the highest level of discretion.
Correspondence and Documentation:
- Draft, review, and manage official correspondence such as letters, memos, and emails on behalf of executives.
- Prepare meeting agendas, presentations, and reports for internal and external use.
- Organize and maintain filing systems for all critical documents, ensuring easy retrieval when needed.
Meeting Coordination:
- Organize and coordinate executive meetings, including internal team meetings and external stakeholder engagements.
- Record minutes of meetings and track action items to ensure follow-up and completion.
- Liaise with internal and external stakeholders to confirm meeting agendas, participants, and logistics.
Project Management:
- Support key organizational projects by monitoring timelines, progress, and deliverables.
- Ensure that project tasks are completed on schedule and report any delays or risks to leadership.
- Facilitate communication between project teams, leadership, and stakeholders to ensure clear understanding of goals and expectations.
Other Duties:
- Provide general administrative support to the executive office as needed.
- Manage ad-hoc tasks and projects as assigned by leadership.
Requirements:
- Education: Bachelor’s degree in Business Administration, Office Management, or related field.- Experience: 5+ years of experience in executive-level administrative support, project management, or related roles.
Skills:
- Excellent organizational and time management skills.
- Strong communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of attention to detail and ability to manage multiple tasks simultaneously.
- Ability to handle confidential and sensitive information with discretion.
- Strong interpersonal skills and ability to work collaboratively across departments.

Salary:
AED
25,000
per month inclusive of fixed allowances.
