JOB DESCRIPTION / ROLE
Job Brief:
We are seeking a highly organized and proactive Executive Assistant to support the CEO in managing daily tasks, ensuring efficient communication, and handling essential administrative, financial, and project coordination responsibilities. The role demands a strong personality, a can-do attitude, and multitasking capabilities.
Job Responsibilities:
Secretarial Support:
• Track and prioritize the CEO's daily tasks and email correspondence.
• Ensure all emails are addressed, and further actions or coordination are effectively managed.
• Maintain a daily schedule for the CEO, documenting and assigning tasks for upcoming days.
• Financial Coordination:
• Track corporate card usage, reconcile transactions, and share records with the Group Finance team.
• Prepare invoices and maintain basic financial documentation as per Group Finance instructions.
Project Coordination:
• Coordinate administrative and operational tasks for two organizations under the CEO’s management—one based in the UAE and the other in North America.
• Liaise with consultants, banks, colleagues, and clients as directed by the CEO.
Additional Responsibilities:
• Conduct research to support decision-making and strategy development for the CEO.
• Draft and proofread internal and external communications on behalf of the CEO.
• Manage ad hoc projects and assignments as directed by the CEO.
• Provide logistical support for events, conferences, and key meetings attended by the CEO.
Requirements:
• 4+ years of experience in executive assistance, finance coordination, or project management.• Education: Bachelor’s degree preferred.
• Proficiency in Microsoft Excel.
• Strong administrative and organizational skills.
• Valid UAE driving license.
• Strong personality with a proactive attitude.
Salary:
AED
10,000 to 12,000
per month inclusive of fixed allowances.
