Position Overview:
ARNN Group seeks a proactive and highly skilled Executive Assistant to support our Company President in managing both business operations and personal commitments. This position demands exceptional organizational abilities, strong communication skills, and an operational mindset with expertise in industries like fashion, jewelry, e-commerce, furniture, and home décor.
The ideal candidate will serve as a key liaison and representative of the President, ensuring seamless operations, strategic coordination, and effective communication across business verticals.
Key Responsibilities:
1. Operational Management
Coordinate and oversee business workflows across multiple sectors, including fashion, jewelry, e-commerce, furniture, and home décor.
Supervise daily operations, ensuring efficient coordination between office, store, and warehouse teams.
Organize and lead team meetings, prepare agendas, document minutes, and develop presentations tailored to industry-specific contexts.
Monitor inventory levels and operational logistics to ensure smooth business functioning.
Develop and implement operational strategies aligned with the President's strategic vision.
2. Team Management and Coordination
Lead and coordinate daily activities across the office, retail stores, and warehouse teams to maintain seamless operations.
Delegate tasks, set clear goals, and ensure accountability across team members.
Act as the primary point of contact for addressing operational concerns, resolving conflicts, and facilitating effective communication within and across teams.
Ensure alignment between departments to meet business objectives and improve efficiency.
Provide regular updates to the President regarding team performance and operational outcomes.
3. Communication and Liaison
Serve as the central communication hub, facilitating collaboration between internal teams, external partners, and clients.
Respond to emails, inquiries, and correspondence on behalf of the President with professionalism and accuracy.
Promote effective communication across departments, ensuring alignment on goals and timelines.
4. Business Representation
Represent the President at key meetings, conferences, and industry events.
Act as an ambassador for the company, ensuring the President's vision and objectives are accurately conveyed in professional settings.
5. Documentation and Reporting
Prepare detailed reports, including operational summaries, financial performance analyses, and industry-specific market trends.
Maintain organized records and documentation to support decision-making and strategic planning.
Assist in the preparation and review of financial statements, expense reports, and performance metrics.
6. Initiative and Problem-Solving
Anticipate operational challenges and proactively implement solutions.
Evaluate existing workflows and propose improvements to enhance efficiency, especially within e-commerce and retail sectors.
Identify areas for operational innovation and develop strategies for continuous improvement.
7. Personal Commitments and Scheduling
Manage the President's professional and personal calendars, balancing business and personal engagements effectively.
Coordinate comprehensive travel arrangements, including itineraries, accommodations, and transportation for business and personal purposes.
8. Industry-Specific Collaboration
Provide operational and strategic support for fashion, jewelry, furniture, and home décor divisions, ensuring alignment with market demands and trends.
Collaborate with the digital and e-commerce teams to optimize product listings, promotional strategies, and customer engagement.Oversee vendor coordination, inventory management, and supply chain activities.
9. Follow-Up and Execution
Ensure timely follow-ups and execution of tasks across all operational areas.
Monitor progress on delegated tasks and ensure deadlines are consistently met.
Track operational KPIs and provide actionable insights to improve performance across office, store, and warehouse teams.
The Executive Assistant will play a pivotal role in bridging strategic direction with operational execution, ensuring all business sectors function cohesively to drive ARNN Group's goals forward.
Requirements:
Bachelor's degree in Business Administration, Operations Management, or a related field.Minimum of 5 years' experience as an Executive Assistant, preferably supporting senior leadership in retail, fashion, or e-commerce sectors.
Demonstrated expertise in fashion, jewelry, furniture, and home décor operations.
Strong organizational and project management skills.
Advanced proficiency in Microsoft Office Suite and e-commerce tools.
Exceptional written and verbal communication skills.
Proven ability to multitask in a fast-paced environment.
Professional discretion and the ability to handle confidential information with integrity.
Familiarity with UAE market trends in retail and e-commerce is a strong advantage.
Valid UAE driver’s license and willingness to work a 6-day week.
Salary:
AED
10,000 to 15,000
per month inclusive of fixed allowances.
