JOB DESCRIPTION / ROLE

Employment: Full Time

Commodities trading firm seeks a highly organized and professional Executive Assistant to join their offices in Dubai. This role will involve providing executive secretarial and administrative assistance to the firms Executive Management Team.

Main Tasks & Responsibilities:
- Assisting the Executive Management with the preparation of documents, agendas, and detailed reports for internal and external meetings.
- Arranging meetings both internal and external, booking meeting rooms, co-ordination of attendees; and accurately taking and producing minutes for meetings.
- Scheduling and organizing meetings, interviews, and preparing memos.
- Printing relevant reports and presentations for meetings.
- Booking travel & hotel itineraries for the Executive Management team.
- Effectively liaison with internal and external stakeholders on the Executive Managements Team behalf, including the collection/collation of documents and information.
- Answering telephone calls and acting as a first point of contact for the Executive Management.
- Ensuring that all calls and emails are dealt with efficiently or acted upon in the absence of the Executive Management.
- Producing ad hoc letters, emails and/or correspondence.
- Precise filing of documents.
- Photocopying and scanning and maintaining stationery.
- Maintain contacts as required.

REQUIREMENTS

- Minimum of a Bachelor Degree from a reputable university.
- Minimum of 5 years previous experience in a similar position.
- Must: Bilingualism English and Arabic.
- Must: Excellent written, typing and verbal skills in both the English & Arabic languages.
- Must: Already be located in the UAE.
- Experience of implementing and maintaining administrative processes and procedures.
- Previous experience supporting executives at an industry leading company. Legal and/or financial industry experience is highly desirable.
- Proactive with an ability to work autonomously, employ initiative to find solutions, prioritize and exercise discretion.
- Attention to detail is essential. Documents, presentations and spreadsheets need to be produced accurately.
- Excellent organizational and administration skills.
- Excellent corporate presentation and able to work in a team environment.
- The ability to effectively multi-task and prioritize.
- Proven record of managing complex schedules and providing quality support to executives.
- Exceptional office administration experience.
- Advanced technology skills in MS Office, and outlook.
- Confident, with strong work ethic and a professional outlook.
- Excellent telephone manner.
- Strong interpersonal skills and high level of professionalism confidentiality, discretion and judgment.
- Capable of working under pressure and to tight deadlines.
