JOB DESCRIPTION / ROLE
EVP Support
Managing the EVPs calendar, daily administrative functions, all incoming requests and delivering professional/timely responses
Writing and translating letters/emails for the EVP
Planning meetings and some CBD events (SBP, integration workshops/team building events, etc.) and collecting direct or anonymous feedback from all participants following events
Ensuring that relevant documents are vetted as per company policies/procedures prior to EVP approval sending signed documents to other locations via PRO or email
Managing relationships with hotels and negotiating competitive rates
Maintaining a methodical filing and robust follow-up system and providing project support as requested by the EVP
Completing reports/expense claims and monthly EVP Letter
Preparing travel arrangements/itineraries for the EVP, booking flights and hotels for MC members and assisting other travel coordinators in interpreting/applying business travel policies
Other
Looking after Gulfood and SIAL administrative preparations and communicating relevant information to CBD exhibition registrants in alignment with MC members and department heads
Receiving external sponsorship requests and internal product/sample requests, obtaining pertinent approvals, and forwarding to all concerned for further action
Looking after the CBD photocopier contract renewals, maintenance follow-up and toner orders, and coordinating the transfer of CBD employees IT equipment (new or requiring maintenance) from Head Office to Al Ain and back
Being the receiving point for CBD PROs and managing the transfer of documents between locations
Maintaining a separate stock of stationery supplies for CBD employees based at Head Office
Translating/reviewing brochures and other marketing material
Reviewing responses to customer complaints and investigation reports
Maintaining a file of CBD license copies and availing to CBD employees based at Head Office
REQUIREMENTS

Minimum Qualifications:
Diploma in Business Administration
Minimum Experience:
8 years secretarial experience out of which 2 years should be in an equivalent Executive Secretary position
Prior experience as secretary for top executives is mandatory
Functional Knowledge:
Excellent attention to detail and accuracy
Strong Planning and organization skills, including excellent time management
Ability to handle tight deadlines and be adaptable to change
Excellent interpersonal skills
Excellent communication skills
