JOB DESCRIPTION / ROLE

Employment: Full Time

Responsibilities:

• Greet clients and visitors with a professional positive attitude and direct them appropriately
• Answer, forward, and screen phone calls, emails, handle queries
• Control and arrange for timely supply of office stationery, equipment, pantry items, drinks/snacks for office
• Manage office petty cash, prepare and submit petty cash reports
• Make monthly utilities/telecommunications payments, keep records, communicate with Utilities/Telecommunications companies
• Deal with counterparties for office cleaning, fire safety, plants care, maintenance, fixing, alterations; sort out any issues and disputes with this regards;
• Manage office furniture, keep inventory records , make orders and deliveries upon request ; deal with furniture moving/storage companies
• Deal with building and facility management companies for any office related matters
• Arrange for employees parking lots , keep records
• Work with IT company for any IT related matters
• Keep records of renewal subscriptions (domains, software, etc), arrange for timely renewals
• Arrange for meetings, conferences, video calls, make needful bookings
• Arrange for courier sending/deliveries, keep records
• Manage and update company website and online/social accounts upon request
• Make trip arrangements for Management /employees/guests (incl. checking rules and restrictions, obtaining visas, travel insurance; booking tickets, hotels, restaurants, taxi/ limousine service etc), keep records
• Deal with advertising/marketing/printing companies upon request
• Control and arrange for business cards, corporate letterheads, envelopes, corporate gifts production
• Assist Management and colleagues with administrative tasks (bookings, orders, scanning, printing, deliveries, adverts posting etc)
• Control document workflow
• Work with translation agencies to organize translation of documents upon request
• Arrange and control health & safety procedures in the office
• Coordinate work with Office Assistant/Driver

REQUIREMENTS

• University/college degree
• At least 2 years of experience on similar position
• Knowledge of telephone/business correspondence etiquette
• Competency in Microsoft applications including Word, Excel, and Outlook
• High proficiency in spoken and written English (knowledge of other languages is a plus)
• Time management, organizational and multitasking skills
• Ability to work in multicultural environment
• Responsible, proactive personality with excellent communication skills
