JOB DESCRIPTION / ROLE

Employment: Full Time

As HR Officer
• Assisting the HR & People Development Manager with generalist HR matters, including reviewing and developing relevant company Policies and Procedures and providing advice in relation to employee performance, conduct and absence management
• Providing confidential ad hoc advice and assistance to employees
• Assisting with preparations for disciplinary and grievance hearings as necessary
• Negotiating salaries, contracts, working conditions or redundancy packages with staff and representatives
• Recruiting, training and developing staff
• Making sure that staff get paid correctly and on time, pensions and benefits administration. Looking after the health, safety and welfare of all employees
• Approving job descriptions and advertisements
• Advising line managers and other employees on employment law and the employer's own employment policies and procedures
• Organizing staff training sessions and activities
• Monitoring staff performance and attendance
• advising line managers and other employees on employment law and the employer's own employment policies and procedures
• Ensuring candidates have the right to work at the organization
• Plan, assign and review staff’s work
• Support month-end and year-end close process
• Maintain employee records (attendance, EEO data etc.) according to policy and legal requirements
• Communicate effectively with employees and management
• Be actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process
• Communicate with Management on work status and company issues that arise
• Provide counseling on policies and procedures

As Admin Officer
• To ensure correct office management systems are maintained in line with the procedures defined
• Provide a comprehensive range of administrative and business support services including executive support for Management and other senior managers
• Review and update technical documents (e.g. manuals and workflows)
• Take responsibility for all premise’s matters ensuring that leases and facilities are well managed and represent value for money
• Provides regular management information reports for the Chief Executive and Board
• Maintains general administrative support services
• To contribute to the corporate planning of the organization as required.
• To work constructively and cooperatively with other members of the team
• To be responsive to the needs of trustees and member organizations
• Monitor and administer the work flow for Document controller and other subordinate employees
• Responsible for overseeing document and data management (paper and electronic), including filing and distributing documents.
• Undertake general clerical and administrative tasks and support the team and service as required
• Represent team/section at meetings and on working groups
• Oversee arrangements for meetings and events ensuring they are properly planned and coordinated
• Work flexibly with other members of the team at all levels to ensure that workloads and key positions are covered in the event of absence or need

REQUIREMENTS

• University Qualifications: Bachelors
• Nature and length of previous experience: Minimum 2 years of experience in related field
• Soft Skills and Personality traits: Strong recruitment skills, organized, Fluent in English (Verbal and Written)
• Nationality Preference: Filipino
• Language Fluency: English
• Current Location: UAE
• Gender Preference: Female
