JOB DESCRIPTION / ROLE
As part of our joint venture we are looking to hire a part-time secretary who will responsible for supporting the business with both administrational duties in addition to basic accounting tasks. This will be 5 days a week, doing a 3 hour working day, Sunday to Thursday.
Key Responsibilities:
• Full business administration – including but not limited to preparation of reading materials, report packs, PowerPoint presentations, agenda and ensuring that minutes from meetings are prepared and distributed, follow-up on actions from meetings, update contact database, liaise with relevant members of staff to ensure all information is correct
• Support with some basic accounting in partnership with our HQ finance and administration teams
• Manage all correspondence on behalf of the Senior Executive, including sorting incoming mail and e-mails - log, forward, prioritise and respond as appropriate
• Maintain and manage filing systems and update records as required
• Manage the diaries of the Senior Executive including scheduling and rescheduling meetings and appointments across multiple time zones
• Working closely with the other assistants and travel agencies around the extensive coordination of travel arrangements and itineraries for the Senior Executive globally
• Assist the Senior Executive in day to day activities, particularly monitoring progress of various projects
• Make and receive telephone calls, especially in Senior Executive’s absence
Organisation-Wide Responsibilities
• Be a central point of contact for each department for questions, assistance and guidance for the Senior Executive.
• Work collaboratively with counterparts in other offices including the Executives’ Personal Assistants across the business as well as the rest of the team
• Perform any ad hoc tasks or duties as required, at the request of the CEO
REQUIREMENTS
• Experience of supporting at Senior Executive level and ideally within in a multinational company
• Excellent organizational skills and ability to handle multiple priorities
• Experience with basic administration and accounting tasks
• Analytical and highly capable of managing complex projects
• Advanced MS office skills, particularly PowerPoint, Excel and Word.
• Articulate with excellent writing and verbal skills in English, and preferably Arabic (but not required)
• Discreet, professional and well spoken, with good communication skills and appreciation of commercial and personal sensitivities
• Confident, diplomatic character to liaise with senior people both internally and externally
