JOB DESCRIPTION / ROLE
The goal of the Personal Assistant is to provide comprehensive and personalized support to the Founder & CEO in managing her daily affairs, enabling them to focus on her professional and personal goals in a discreet and efficient manner. This is a role that will require you to provide true right-hand support to the Founder & CEO across her personal interests which will include lifestyle management and business support.
Major Responsibilities
- Managing the Founder and CEO's diary, including travel arrangements.
- Handling personal tasks such as overseeing household staff, organizing social events, and running errands.
- Liaising with business contacts, associates, and family members on behalf of the Founder & CEO.
- Assisting in managing the office and ad hoc projects.
- Management of our office facilities, contractors, and suppliers.
- Managing expenses and assisting with financial tasks as required.
- Assisting with administrative duties including but not limited to:
- Coordinating with deliveries and shipments.
- Coordinating with HR for office engagement activities.
- Coordinating with cleaning services and preparation of reports.
- Up keeping home and office hygiene standards.
- Ordering home furniture and managing shopping lists.
- Maintaining the database of company directories, business cards, addresses, telephone numbers, etc.
- Providing administrative support to their colleagues and senior management including.
- Scanning documents, data entry, and photocopying of documents as required.
- Preparing and managing correspondence, reports, presentations, and documents as required.
Requirements:
- Excellent organization and time management skills.- Open-minded with a positive character and a “can-do” attitude.
- Strong interpersonal and communication skills to effectively interact with the Founder & CEO and its network of professionals.
- Flexibility and adaptability to handle unexpected changes and requests.
- Trustworthy.
- Ability to work independently and take initiative while also being a team player.
- Professionalism, poise, and a pleasing personality.
- Proficient in Microsoft Office Suite and other relevant software.
- Speed and accuracy.
- Excellent attention to detail and ability to multitask.
Education, Qualification, and Experience
- Bachelor's degree in business administration, hospitality, communications, or secretarial studies.
- Minimum of At least 2 years of supervisory role in an MNC office and an all-rounder.
- Must possess a valid UAE driving license.
