JOB DESCRIPTION / ROLE
Due to increased expansion we are seeking an organized and proactive Receptionist and Admin Assistant to join our dynamic team in the automotive industry. This role is critical in ensuring the smooth operation of our front office and administrative functions. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask effectively in a fast-paced environment. As the first point of contact for our clients and visitors, you will play a key role in representing our brand and providing exceptional customer service. Your organizational skills will support our team in delivering high-quality service and maintaining operational efficiency.
Responsibilities:
- Greet and welcome visitors and clients with a professional and friendly demeanor.
- Answer, screen, and direct phone calls and emails promptly and courteously.
- Manage the reception and front of house, ensuring it is tidy and presentable at all times.
- Handle incoming and outgoing mail and packages, ensuring timely distribution.
- Schedule appointments and maintain the calendar for the management team.
- Maintain office supplies inventory and place orders as necessary.
- Provide administrative support to various departments, including filing, data entry, and document management.
- Assist in coordinating company events and meetings, including logistics and catering arrangements.
- Respond to inquiries from clients and staff, providing information and assistance as required.
- Maintain confidentiality of sensitive information and adhere to company policies and procedures.
- Support vehicle licensing, renewals and insurance requests for our own fleet and customer vehicles
- Support cross border vehicle movements and organisation of documents
Requirements:
- Proven experience as a receptionist, administrative assistant, or similar role in a fast-paced environment, preferably within the automotive industry.- Preferable experience with vehicle licensing, customs processes and supporting documentation
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Strong organizational and multitasking abilities, with a keen attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (e.g., printers, copiers).
- Ability to handle sensitive information with discretion and maintain confidentiality.
- A positive attitude, professional appearance, and a commitment to providing excellent customer service.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
- Strong problem-solving skills and the ability to prioritize tasks effectively.
- A high school diploma is required; additional qualifications in office administration or related fields are a plus.
- Knowledge of automotive terminology and practices is preferred but not required.
