JOB DESCRIPTION / ROLE
We are seeking a highly organized and proactive Secretary Cum Receptionist to join our dynamic team in the real estate development sector. This role is pivotal in ensuring smooth office operations and providing exceptional front-line support to both our clients and internal team members. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to manage multiple tasks efficiently in a fast-paced environment. Responsibilities:
- Greet and welcome visitors in a friendly and professional manner, ensuring a positive first impression of the company.
- Manage incoming calls, emails, and correspondence, directing them to the appropriate departments or individuals.
- Maintain the reception area and office supplies, ensuring a tidy and organized workspace.
- Assist in scheduling appointments, meetings, and conference calls, coordinating with various team members to ensure availability.
- Prepare and manage documentation, including reports, presentations, and contracts, ensuring accuracy and confidentiality.
- Support administrative tasks such as filing, data entry, and maintaining databases to enhance operational efficiency.
- Coordinate travel arrangements for team members, including booking flights, accommodations, and transportation.
- Assist in organizing company events, meetings, and other activities to foster team collaboration and client engagement.
- Handle customer inquiries and complaints with professionalism, ensuring timely resolution and customer satisfaction.
- Collaborate with various departments to streamline communication and enhance overall office productivity.
Requirements:
- Proven experience as a receptionist, secretary, or in a similar administrative role, preferably within the real estate or construction industry.- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with office management software.
- Professional appearance and demeanor, with a strong customer service orientation.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.
- Attention to detail and a high level of accuracy in all tasks.
- Bachelor's degree or equivalent qualification is preferred.
- Knowledge of real estate terminology and processes is an advantage.
Salary:
AED
6,000 to 10,000
per month inclusive of fixed allowances.
