JOB DESCRIPTION / ROLE

Employment: Full Time

Manages and controls the provision of Administrative services like Corporate Advertising, Corporate air travel, Event management, Publication & Periodicals, Mail Room Management Registration with Trade Forums and Telecom Bodies, Admin Services & Process Development, Admin Website Management, ISO program management. Ensure finalization of Admin capital budget in coordination with VP-Admin. Prepare Operating and Manpower Budget for the Central Admin. Attend budget review meetings with regions in order to optimize their requirement without effecting operational needs. Negotiate corporate deals with major airlines and hotels to gain preferential rates for the corporation.

Duties & Responsibilities:
- Reviews advertising agency contracts and established processes to place orders with the agencies based on marketing, legal, contracts & recruitment departments request for release of marketing campaign, legal summons, tender advt and recruitment advts.
- Participate in the evaluation of selection of advertising (media buying / creative) and event management agencies for the corporation.
- Negotiate with different airlines and hotels in UAE for corporate deals to support cost optimization on air travel. Contact overseas hotel groups for bulk bookings during major overseas events like GSM, CeBIT, ITU etc.,
- Seeks, collects and reviews Admin capital budget with VP-Admin and initiate discussion with HO departments and regions to consolidate submission to the EC/Board of Directors
- Coordinate with Marketing team to facilitate participation of the corporation in telecom events like GITEX, MECOM, GSM etc.,
- Assume responsibility of enrolling the corporation to various telecom bodies and forums across the world based on recommendation from the management and corporate communications.
- Organize Mail Room Management services across the corporation by executing service level agreements with Emirates Post, Empost, Fedex, Aramex etc
- Arrange purchase of newspapers, periodicals, magazine and technical literature for the use of the corporation.
- Consolidate Operating and Manpower budgets for the central admin in consultation with VP-Admin & GR and arrange for submission to the management.
- Perform the task of PROGRAM MANAGER of Central Admin for the development and management of ISO 9001:2008 standard.
- Manage Key Performance Indicators assigned to Central Admin through consultation and guidance to the process owners. Educate the teams to achieve the set objectives through meaningful discussions.
- Attend meetings with other stake holders associated with Corporate Key Performance Indicators and present achievements of the admin department while addressing short comings (if any).
- Plan development and introduction of Admin services manual to assist internal customers seek and obtain various Admin, Government relations, VIP& Protocol and Admin Corporate Support services. Ensure that the manual, after introduction, is periodically updated to retain its authenticity and usefulness.
- Create, develop and maintain Central Admin website on the corporate intranet in association with CIT and Corporate Communication.
- Seek deals and offers from various organizations for the benefit of our staff and publish the same through Admin Intranet Website.
- Create process documents to facilitate implementation of uniform work process across the corporation for admin & GR functions. Enable process improvement wherever possible to eliminate redundancies, and reduce time lines.
- Devise policies in coordination with VP-A&GR to enhance service provision to the corporation.

REQUIREMENTS

- Bachelor's Degree - Business Admin or Equivalent.
- 6-8 years in the management of admin services, facilities management, HSE functions.
