JOB DESCRIPTION / ROLE

Employment: Full Time

• Coordinate and manage all aspects of corporate travel, including booking flights, accommodations, car rentals, and visas, ensuring compliance with company policies.
• Maintain and update the organization's travel management systems, ensuring accurate and up-to-date records of travel itineraries, costs, and traveler preferences.
• Review and approve travel requests, ensuring compliance with travel policies and budgets, and advise on cost-saving opportunities.
• Manage relationships with travel vendors (airlines, hotels, car rental agencies) and negotiate corporate rates and contracts.
• Provide timely support and troubleshooting for employees during their travel, addressing issues such as booking changes, cancellations, and emergencies.
• Ensure all travel-related documentation (visas, passports, work permits) is properly organized, tracked, and updated for employees as needed.
• Collaborate with finance to process travel expense reports, verify documentation, and ensure timely reimbursement.
• Develop and maintain travel policies, guidelines, and procedures, aligning with industry best practices and legal requirements.
• Monitor and analyze travel expenditures and provide regular reports on cost trends, compliance, and areas for process improvement.
• Stay informed of travel-related risks and ensure the organization has measures in place to mitigate them (e.g., travel insurance, health and safety protocols).

Requirements:
• Bachelor's degree in Business Administration, Travel Management, or a related field.
• Proven experience in corporate travel coordination or travel management.
• Strong understanding of travel booking systems, vendor negotiations, and expense management processes.
• Familiarity with travel regulations, visa processes, and compliance requirements.
• Excellent organizational skills with a strong attention to detail and the ability to manage multiple travel requests simultaneously.
• Strong communication and customer service skills, with the ability to support employees during travel.
• Proficiency in travel management software and tools, as well as Microsoft Office Suite.
