Context
The Admin Supervisor is responsible for preparing, assembling and packing orders, ensuring that Veolia vehicles, equipment and tools receive high-quality service in accordance with the organizational needs to comply with business objectives in the short, medium and long terms and in accordance with the Integrated Management System.

Main Accountabilities:
- Establishing an efficient filing system, document control and data entry activities including: - Time sheets, KPI reports, planned/unplanned leave and manpower resources.
- Work closely with the Workshop Supervisors in updating and monitoring vehicle inspection reports and fuel data management.
- Monitoring of the vehicles GPS System on a daily basis and notify any irregularity to the relevant departments.
- Coordinate and follow up with site supervisors, supply chain to ensure timely delivery of required equipment, materials and supplies.
- Petty cash management.
- Act as a point of contact for communications with different departments/parties in regards to site visitor access, material exit/entry passes, and any other related communications.
- Posting and maintaining office policies and procedures in coordination with HR/QHSE Managers and in accordance with the VESE Integrated Management System.
- Handling office tasks, such as filing & printing, generating reports and presentations and setting up for meetings.
- Updating and maintaining dashboard and KPI reports, including, timesheet, vehicles registration, third party certificates and PPM schedule.
- Diligently perform any other reasonable work or related tasks at the request of the Workshop Manager/nominee.
- Manage and oversee the accurate reporting and issuing of work orders into the CMMS system.
- Manage and maintain the asset register.
- Issue the service request into the financial system.
- Responsible for housekeeping of the workshop, welfare and office areas ensuring that they are tidy and free of obstructions.
- Conduct toolbox talks and any localized training as required.
- Ensure that all the work has been carried out as per user concerns and company’s maintenance schedule and in other cases liaise with Mechanical/Electrical Supervisor for resolution.
- Ensure Job quality, hand over to the user and follow up once the Job is completed.
- Close the work order in time with labour, parts, consumables and sublets posted with high degree of accuracy.
- Diligently perform any other reasonable work or related tasks at the request of The Workshop Manager/nominee.

QHSE:
- Understand, implement and follow the Veolia/OSHAD QHSE policies.
- Reports any HSE incident immediately, as per VESE HSE procedures.
- Implements and encourages the behavioural based safety culture through safe job observations.
- Perform daily meetings with subordinates to monitor and promote a safe workplace.
- Actively participate in the HSE incident investigations and prepare required reports in consultation with the department's manager.
- Never attempt to do the job in an unsafe manner which may adversely affect them, co-workers and/or the general public.
- Carrying out assigned tasks and duties in a safe manner, in accordance with instructions, and to comply with QHSE procedures.
- Notify the Workshop Manager/nominee of any unsafe practice or condition, or if in any doubt about the safety of any situation.
- Obtaining and using the correct tools/equipment for the work and not to use any that are unsafe or damaged. All tools, equipment and personal protective equipment must be stored in good condition in the approved place after use.

- Ensure that reporting is performed promptly and accurately.
- Organize soft & hard files with focus on digitalization.
- Produce and update reports within specified time as required.
- Report any issues immediately to the Workshop Manager/nominee.
- Present KPIs and Dashboards and trend analysis on a weekly basis.

Communication:
- Report all relevant information to the respected department managers promptly and accurately.
- Attend and interface with the operational/admin teams on a daily basis.
- Ensure effective and prompt communication at all times

Requirements:
Education and Experience:
- Hold a relevant educational qualification from a well recognized and reputable academic institution fit for the required job function.
- At least 3 years of proven experience in the same field with at least 3 years in supervisory level.

Technical Skills:
- Knowledge of administrative and clerical procedures and systems.
- Scheduling and planning.
- Administrative writing and reporting skills.
- Innovative, attention to details and continuous improvement mindset.
- Effective problem identification, problem solving and improvement implementation.
- UAE valid light vehicle driving license is an advantage.

Collaboration :

- Excellent interpersonal and conflict handling skills.

Communication:
- Good command of written and spoken English is essential.
- Good command of Arabic and Hindi/ Urdu is an advantage.

- Communicate accurately, correctly, timely, effectively and in an appropriate manner using email, documentation and verbally.

Organizing and Reporting:
- Excellent planning and organizing skills.
- Excellent workload and time management.
- Excellent report writing skills with attention to detail, correctness and accuracy with the good use of English and technical terminology.
- Able to create new reports and tools for use by employees and management.

IT Skills:
- Proficient in software applications CMMS tools and financial systems.
- Knowledgeable in Google suite and apps.
