Job description / Role

Employment: Full Time

Responsibilities:

• Supervise to maintaining Pantry administration
• Preparing coffee and tea for staff & visitors during absence of office assistant
• Supervise and ensure the whole office is thoroughly cleaned
• Supervise and make sure all office materials such as fax machine, photocopy, printer, office furniture, and others are clean and tidy
• Supervise Assisting all departments in Photocopy & Scanning of documents
• Arranging Faxing documents
• Circulating LPO’s and contracts via e-mail to the concern Sales Person
• Forwarding email to concern department coordinator for updating product delivery schedule
• Maintaining all customer contract copies
• Manage and Sort incoming mail, faxes, and courier deliveries for distribution
• Purchase, receive and store the office supplies ensuring that basic supplies are always available
• Assisting Finance department for any documentation requirement
• Scanning all Necessary Documents (Scanning documents for all divisions )
• Handing courier and other services to run office smoothly.
• Maintain record for all outgoing and incoming documents
• Maintain and filing of office files and documents
• Arranging all documents for Signature for UAE & Qatar and tracking of the documents
• Answers incoming telephone calls, determines purpose of calls, and forward calls to
• Appropriate personnel or department in absence of the office administrator
• Handles hotel booking and air ticket booking for staff and clients as requested in the absence of office administrator or admin supervisor (backup administrator’s job profile)
• Assisting Sales and Service Division
• Coordinating with Sales Coordinator and sales staff for LPO
• Assist warehouse for stocktaking.
• Performs other clerical duties such as filing, photocopying, and collating for all departments
• Coordinating to deliver documents for warehouse as and when needed.
• Coordinating between departments and operating units in resolving day-to-day administrative and operational problems
• Monitoring cleanliness of office equipment and furniture
• To deliver and pick-up mail, documents, packages and other items to and from office and store, or any other location that may be required.
• Maintaining international phone call logs
• Maintaining electronic access device for entry and exit
• Maintaining conference or meeting room schedule program
• Arranging birthday or party meeting snacks and juices
• Supporting with IT department to ensure all connections running fine
• Checking newspapers for business announcement during PRO in vacation
• Preparing temporary gate pass for all government institute during PRO in vacation
• Scan and send email for cheque and receipt copy to finance department
• Scan and send email for all HR related forms to new or existing staff
• Updating agency certificates and distributors contracts with coordination of admin supervisor

Requirements

Qualifications:
• Bachelor Degree

Experience:
• Minimum 3-5+ years’ experience

Required Skills:
• Time Management
• Thoroughness of routes
• Decision making as to manage the routes according to the urgency and time

About the Company

Abul Qasim Khalaf Al Zahrawi (936-1013 A.D) known in the west as Abulcasis was born in Zahra in the neighborhood of Cordova (Arabic Qurtuba). He became one of the most renowned surgeons of his era and the Middle Ages. He is best known for his early and original breakthroughs in surgery as well as for his famous Medical Encyclopedia called Al-Tasrif, which is composed of thirty volumes covering different aspects of medical science.

The more important part of this series comprises three books on surgery, which describe in detail various aspects of surgical treatment as based on the operations performed by him, including cauterization, removal of stone from the bladder, dissection of animals, midwifery, styptics, and surgery of eye, ear and throat. He perfected several delicate operations, including removal of the dead fetus and amputation. Al Zahrawi is considered as Father of Modern Surgery.
