Wood is recruiting for a Document Controller to join its Projects team focusing on delivering across FEED and Detail design scopes of work. In this role, you will be responsible for Document Control processes and systems from project kick-off to handover. You will be responsible for Project Document Management and for developing project DC (Document Control) / EDM (Electronic Document Management) processes and procedures whilst interfacing with the full project team and all contractors and suppliers during FEED and Detail design.
Position is based in Oman for a long-term assignment.
Responsibilities
The Document Controller will be responsible for:
- Ensuring early engagement with the Project Team Leader for all assigned projects.
- Management of all aspects of project document control.
- Following/ensuring Quality Management System Requirements are met in line with ISO 9001-2015 API Q2 2nd edition requirements.
- Preparing and issuing procedures on the numbering and control of both internal and external design and vendor documents as per contractual conditions and in line with existing PDO Standards and Procedures.
- Preparing and issuing a similar procedure on the management and numbering of project correspondence and checking that the project correspondence procedure is adhered to by project team members.
- Overseeing the receipt, registration, and distribution of incoming documentation from various vendors and suppliers during detail design.
- Interfacing with Document Control personnel between the various vendors/suppliers' offices and site, as well as with the EMC contractor document control personnel.
- Ensuring that all received electronic media (where appropriate) are added to the correct folders maintained within the project EDMS, and that the required file attributes are applied to both the EDMS (Electronic Document Management System - e.g., Live Link) and the DCS (Document Control System - e.g., SPO).
- Establishing a project filing index for any hard copy engineering documents stored by the project, and a similar index for the filing of project correspondence.
- Establishing and maintaining a project archiving strategy for hard copy project documents and managing project handover requirements for both hard copy and electronic media upon project completion.
- Maintaining the DCS and EDMS.
- Implementing and managing the project document control and document management processes and systems to aid in efficient capital project execution.
- Driving improvements within the Document Control scope through leadership, standards, and behaviors. Implementing solutions that educate and encourage internal and external stakeholders to become more collaborative.
- Managing document control and document management assets. Implementing, promoting, and operating solutions that support the project's objectives, facility lifecycle value delivery, and global knowledge sharing and collaboration.

- Graduate or equivalent.
- 5 years Document Management experience in the oil and gas industry - preferably with Facilities engineering.
- Good communicator with experience in leading small teams.
