Job description / Role

Employment: Full Time

• Carry out daily clerical activities such as preparing Memos (Arabic & English), and letters for correspondence (internal & external), photocopying, scanning and fax as per EVP-E&M and his office requirement, ensuring timely completion of all administrative activities.
• Answering telephones and taking message for EVP-E&M, screen and route all phone calls, requests, queries to the concerned personnel and deal with all correspondence to ensure timely coordination within and outside the department.
• Arrange Duty Travel, Hotel Arrangements & Visa arrangements for EVP-E&M as and when required and complete the settlement formalities with finance after completion of duty travel.
• Take Minutes of the meetings for various office meetings, as and when requested by EVP-E&M or his deputy.
• Liaise with concerned internal-external parties to arrange meetings and appointments for EVP-E&M as per the requirements.
• Maintain the OTL for engineering staff as necessitated and submit the time card on monthly basis for payroll after necessary verification.
• Receive the documents from various engineering sections and other departments, and forward to EVP after necessary verification.
• Liaise with HR for any OTL discrepancy, Overtime and salary deductions for Engineering staffs.
• Collect staff monthly duty rosters, weekly reports from various engineering section on regular basis and update in Share folder as required for EVP reference from time to time.
• Liaise with HR to receive the OT report for engineering on monthly basis and monitor and report to EVP-E&M or HR for any discrepancy.
• Coordinating the offices, including keeping track of assets, supervising office renovations, IT installation etc.
• Maintain proper filing system – ensure that all files are in order and kept in share folder.
• Register, categorize, file and update all critical manuals and personal documents of the department to maintain their confidentiality and sort all incoming letters reach the concerned personnel in time within department.
• Arrange to deliver and receive documents to and from Oman Air HQ offices.
• Preparing ERP requisitions for office items, stationaries and catering refreshments as and when required.
• Arrange Visa, transport, hotel booking for Engineering Guests as and when required.
• General coordination duties corresponding the above.
• Any other duties or tasks as may be assigned by the Management.

Requirements

02 years of work experience preferably secretarial or Admin functions.

Fresh Bachelor degree in related discipline.

OR Two years college Diploma in a related discipline with 02 years of work experience preferably secretarial or Admin functions.
