Job description / Role

Employment: Full Time

The basic function of this position is to ensure all employee’s inquiries are being answered according to our service standards to its employees through performing processes related to their recruitment, payroll administration, performance management and assignments/research resulting in high satisfaction among employees and thus increasing their productivity and efficiency.

Handles the recruitment process in coordination with the business leaders,
- Performs selection and recruitment processes for all employment levels starting with screening, then a well-studied selection process reaching to the final job offer as per set requirements and budget
- Conducts company orientation/induction to newly hired employees to ensure integrating and proper onboarding for all employees of all levels enhancing the sense of adaptability among new hires
- Follows up on new recruits’ Bank accounts, shift schedules and enters all their related personal data on oracle
- Handles all case management and payroll processing issues, ensuring employees are paid on time and accurately;
- Monitors the employees’ daily attendance sheets and cross checks absences against supporting documents (leaves, medical reports…) as well as justifications from superiors. Reports any irregularities in the attendance.
- Executes oracle payroll administration and validation: employee exclude, termination, reverse termination, quick pay, pay method, payroll run, prepayments, costing and transfer to GL
- Prepares the monthly payroll entries and tabulates additional data relevant to payroll including deductions and reimbursements such as business transportation allowances, penalties, fines, commissions, etc…
- Prepares the monthly incentive bonus as per criteria received from department heads for a proper and fair evaluation and reward system
- Maintains and updates annual leave balance reports to send them to the concerned department heads for action
- Executes matters related to termination of staff (voluntary or involuntary termination) in line with company policies and procedures, such as securing the termination letter, final settlement, bank declaration, clearances, letter of discharge, handing over sheet, and oracle alert and records data on oracle
- Prepares warnings, notifications and appreciation letters and Investigates to make sure that all supporting documents/emails are present and to be recorded on oracle
- Issues any employment and salary certificates requested from employees

Responsible for all the HR projects in alignment with the Business:
- Prepares the company job descriptions in coordination with the related parties, making sure to set and reflect the roles clearly.
- Supervises and carries out the Performance Management process adopted by the company. Prepares the related annual report.
- Assists in the assessing of staff performance, works on developing the assessment methods to ensure a fair evaluation among all employees, suggests trainings and develops KPIs in coordination with the Unit Head
- Applies the structural amendments as oriented by management to keep the organizational chart updated
- Liaises with the HR Operations Director regarding the monthly HR report and flags the issues that must be reviewed and monitored.
- Coordinates with HR Operations Director on all new HR programs/projects that will be implemented in the business
- Compiles and prepares the departmental weekly and monthly KPIs and reports as requested in order to monitor the work, detect gaps and act accordingly

Ensures the employees’ wellbeing, by performing the following organizational behavior tasks:
- Ensures HR Processes (Policies, Procedures and documents) are followed and suggests improvements to fit business needs.
- Investigates objectively the comments raised by employees in the performance review for proper action taking, detects the raised gaps and ensures that the encountered problems are being solved effectively to increase employees’ job satisfaction
- Handles all promotions/transfers requests ensuring that employees are fairly treated and following up on the implementation
- Conducts exit interviews with resigned employees to explore working conditions and comments on different areas in the company including policies, supervisor skills and teamwork. Prepares related summary report with action plan to follow-up on.
- Suggests improvements for the working environment through performing site visits and fosters team work through planning different activities.
- Performs impartial investigations of grievances/social activities/on-site scheduled observations to promote wellness and schedule periodic town hall meetings

Handles issues related to Admin responsibilities and Safety requirements.
- Administers and handles travel arrangements for expats.
- Monitors and coordinates with the Government Relation Officer for accomplishments of the visa processing, contracts and other related legal procedures
- Ensures that all health and safety procedures are to be applied starting from oneself and reaching all employees in the company
- Complies with the applicable health & safety procedures, instructions, requirements, laws, regulations from customers, regulatory and statutory bodies
- Reports to his/her superiors' occurrences, events, violations and acts that may affect health, safety and company reputation.

Requirements

- Proficient in MS Applications
- Knowledge of the Labor Law
- Knowledge in Oracle
- Good problem solving and decision making skills
- Good in Relationships building
- Interviewing skills
- BA degree
- Minimum 3 years of experience in the HR field
