Job description / Role

Employment: Full Time

GENERAL

- Adhere to the Company’s health, safety, environmental and security policies at all times
- Adhere to & support ISO processes, certification renewal & ensure areas of responsibility are in constant compliance
- Ensure that Business Ethics and Core Values of the Supply Chain Management Department are implemented and followed in proper manner.

OPERATION

- Receive all purchase requisitions. Coordinate with respective departments to ensure error free procurement
- Prepare, float tenders and take part in tender evaluation
- Prepare award decision paper and circulate for signature
- Collect all the necessary information like signing authorities, bank account details, shipping documents, etc. to ensure that right details are entered in the purchase order
- Raise purchase orders
- Liaise with Finance department for the preparation of Letter of Credit and other necessary documents
- Follow-up with vendors and finance department to ensure prompt payment of invoices
- Close all purchase orders on a monthly basis
- Perform initial evaluation of vendors prior to registration
- Liaise with respective user departments for Pre-Delivery Inspection to ensure that delivered items are as per the requested specifications and free from damages
- Liaise with shipping and customs clearing agents for preparation of customs clearance, letters, etc. to ensure prompt release of items from customs custody
- Liaise with Royal Oman Police for transport of the heavy equipment to and from the airports
- Follow-up final acceptance reports post-delivery inspection
- Review and check correctness of invoices, when required
- Performance bond verification and payment process
- Support all SCM staff and development of new tools
- Prepare and monitor tender advertisements
- Conduct risk assessment of contracts and purchase orders to ensure adherence to the agreed terms and conditions
- Evaluate and pre-qualify new vendor.
- Conduct preliminary checks on documents submitted by vendors and coordinate with the Vendor Relationship Leader for site visits to verify the information submitted by vendors
- Receive and Check requisition specifications prior to the preparation of Tender documents
- Interpret complex documentation, identifying key requirements and respond appropriately
- Check if tender document meets all requisition requirements prior to floating tenders
- Ensure that both open and closed tenders are in line with procurement policies and procedures
- Negotiate with the suppliers and solicit best offer
- Supervise contract execution in coordination with the user department
- Arrange meetings with potential vendors and provide feedback to user departments for evaluating the vendor as part of preliminary assessment-negotiation
- Conduct Techno Commercial evaluation and provide report to management
- Follow up acceptance letters from the vendors in order to confirm their interest to work with the company
- Oversee tender clarification meetings

Requirements

- Bachelor degree in a related discipline with 8 years of relevant experience Professional

Qualifications:

- Certification in Purchasing & Supply from Chartered Institute of Purchasing & Supply (UK) or equivalent and Lean Management Sigma will be an advantage.
