Post Summary

The school receptionist is Al Shomoukh International School’s first impression and an important point of contact. The school receptionist is the first person that students, families, and visitors see when they enter Al Shomoukh International School. Job duties primarily deal with efficient and effective communication but also include; proper phone skills, email etiquette, strong interpersonal skills, secretarial support, keeping records, scheduling meetings and facilitating communication between students-families and staff.

Reporting/Accountability Relationship

The School Receptionist shall report to the Head of the Administration.

Key Areas of Responsibility

• Welcome visitors according to Al Shomoukh International Schools visitor procedure.
• Ensure there is no access to Al Shomoukh International School by unauthorized personnel.
• Assist visiting parents with areas of query and concern.
• Help students with any queries and concerns.
• Answer the telephone in a professional manner.
• Distribute messages as required.
• Advise callers who are seeking information relating to school activities and the school day.
• Liaise with the school caretakers as required regarding deliveries to the school.
• Prepare documents when necessary using Word and Excel.
• Perform other duties as required; administrative tasks for members of the leadership team or teaching staff.
• Contact parents if requested by Head of the Administration.
• Provide all documents required when there is a fire drill.
• Schedule appointments for parents with staff in a timely manner.
• Follow up on parents’ requests with the designated department.
• Provide Early leave slips for students.
• Ensure that only visitors and parents stay at the reception area.
• Turn on the TV daily.
• Send an email to the designated department for any request, complaints…
• Ensure that the reception area is at its best condition.

Requirements:

• Omani preferred
• Experience is not essential but preferred
• Presentable and ready to work under pressure
• Able to work in multi-national environments
• Fluent in English and Arabic
• A minimum of Bachelors Degree
