Administration Coordinator - Occupational Health & Safety - Qatar Airways - Doha

This is an exciting opportunity to be part of the Group Safety team, to provide a coordinated link between Occupational Health and Safety Reporting programmes by assisting the Fire Safety and Health and Safety members in the production of statistics and documentation to a common standard. You will assist with the capture and processing of data, handling safety reports, and incident investigations. You will assist Fire Safety and Health and Safety members in preparation of briefing material for the Occupational Health and Safety Action Group (OHSAG), the Fire Safety Task Force (FSTF) meeting and the OHS committee meetings. You will assist in managing the maintenance of the safety reporting occurrence database by ensuring accurate categorization of Occurrence Reports (OR) to enable proper analysis of events. You must ensure all details of OR’s are copied to relevant Departments for investigation and corrective action which will be coordinated and closed within QR Group. You will produce statistical reports as required by the OHSAG, FSTF and OHS Committees.

You must ensure full awareness of work health and safety requirements, in order to minimize health and safety risks for self and colleagues. You will ensure compliance to all relevant safety, security, quality and environmental management policies, procedures and controls across the operation to guarantee employee safety, security, legislative compliance, delivery of high quality service with a responsible environmental attitude. You must take a direct and personal interest in reported injuries, incidents, near misses and hazards to ensure appropriate reporting, investigation and response is being achieved. You will maintain document control to ensure we meet OHS international standards and internal standards. You will assist in preparing OHS Compliance reports by documenting OHS compliance check findings and maintaining confidentiality protocol at all times. You will act as secretary for all OHS team action groups and any other meetings, where minutes are required to be taken. You will maintain diaries of department representatives, set up and maintain filing system and act as IT Guidance to the OHS & Fire teams. You will assist the OHS team in the department with administrative tasks – this will include but not be limited to the following:

Coordinate of Duty Travel requests.

Maintain Finance / invoice spreadsheets of team spends to meet budget requirements.

Raise Purchase Orders.

Raise ITSR’s

Coordinate between various stakeholders pertaining to procurement workflows/ RFQ/ RFI/
PR/ POs’.

Point of contact in preparation for QR Group projects – assist in the raising requirements like CMC/ Single Source/ Contracts etc.

Coordinate between QRMC and other divisions among QR Group for INJD verification.

Liaise with other departments for efficient and smooth functioning of day to day activities.

Coordinate with out-stations with regards to Fire incidents and Health and Safety Concerns.

Requirements

To be successful in this role you must hold a Diploma or Associate Degree or equivalent. You must have excellent knowledge of MS Office Applications. Applicants must have excellent verbal and written communication skills in English. You must hold minimum 4 years of work related experience in administrative tasks with a basic Knowledge of Health and Safety. You must possess both functional and generalist expertise, organizational skills and positive flexible leadership style qualities.

Candidates with accounting background is highly preferred. You must have a thorough knowledge of Microsoft Word, Excel, PowerPoint, Access and Oracle. Attention to detail and good organizational skills are important aspects of this role. In addition you must have a high level of accuracy along with the ability to work under pressure and consistency in delivering high quality work within deadlines. You must have the ability to work with minimum supervision and as part of a team. You must be willing to undertake additional training and possess good analytical skills.
