Administration Officer - Legal & Compliance - Qatar Airways - Doha

In this role you will provide administrative support for smooth functioning of CLCO office on a daily basis. This role will perform general responsibilities that involve the handling of confidential and sensitive issues. In addition to this, the role will coordinate, organise a wide range of meetings and act as the main point of contact for the CLCO office. This role will ensure a high standard of planning, organizing and implementing administrative systems.

Operational
• Works closely with the management and team improving current processes, tools and systems.
• Maintains the highest standard of professional conduct at all times with colleagues and external clients.
• Work independently on routine work, seeks guidance on complex assignments and ensures strict deadlines are met.
• Manage and co-ordinate internal and external communications for the CLCO’s office and the department.
• Manage, co-ordinate and maintain calendar of appointments, travel arrangements, records of communication (documents, faxes, mail, etc.) to meet the requirements of the CLCO.
• Manage and perform administrative tasks based on set procedures, establishment and maintenance of filing systems, categorizing and maintaining manuals, manage and coordinate travel needs and other source data. Provide confidential administrative support.
• Respond to complaints and requests for information and assistance, interpret and explain procedures and policies pertaining to internal inquiries of management and staff.
• Anticipate and prepare meeting materials, charts, reports, memorandums and minutes of meetings as needed.
• Handle a wide variety of situations and tasks involving the subsidiaries function of PO Management, this involves keep a constant check on stock levels and relevant internal departments and customers.
• Accountable for day to day facilitation and management of all purchases done with the Corporate Credit Card, invoice requests as well as general day-to-day administration; concentrating on urgent requests as well as finding and offering solutions to problem orders.
• Perform, in coordination with HR Business Support, SSHR system updates hierarchy changes for direct reports of CLCO
• Co-ordinating with GCEO’s office to follow up on approvals of internal memos, Legal, Compliance and ERM documents, etc.
• Works closely with the management and team improving current processes, tools and systems.
• Process various purchase orders (e.g. stationeries, toners, pantry items) as required by the assigned section.
• Handling all HR issues, like raising SRFs, coordinating with HR on recruitment issues, promotions, probation reports, new staff orientation and induction to the department. Also coordinating with HR services: leave section for staff queries on leave, hierarchy level changes, compassionate leave, sick/unpaid and emergency leave
• Perform other department duties related to his/her position as directed by the Head of the Department

Personal Development
• Take responsibility for own ongoing personal development and growth of expertise.
• Keep abreast with any market trends and developments
• Assist in the response to any emergency or a major operational disruption affecting Qatar Airways or its subsidiaries, including support of the Qatar Airways Special Assistance Program.
• Train Qatari staff in various duties as per business requirements
Operational Safety
• Ensure full awareness of work health and safety requirements and expectations in order to minimise health and safety risks for self and colleagues.
• Ensure compliance to all relevant safety, security, quality and environmental management policies, procedures and controls across the operation to guarantee employee safety, security, legislative compliance, delivery of high quality service with a responsible environmental attitude.
• Take a direct and personal interest in reported injuries, incidents, near misses and hazards to ensure that appropriate reporting, investigation and response is being achieved.

Requirements

You should hold Bachelor Degree with minimum 4 years of job related experience. Education in either Business Administration or Management will be preferred.

• An eye for detail, including when working under pressure
• Experience within the administration field
• Experience in working with company policies and procedures
• Excellent English Language skills – reading, writing and spoken
• Knowledge of Oracle software applications.
• Demonstrate Quality Consciousness.

• Possess strong team player skills, problem solving skills.
• Demonstrate ability to work effectively and harmoniously with people from different cultures/ backgrounds.
• Demonstrate working knowledge and understanding of operational and procurement procedures
• Strong computer skills (MS Office) with understanding to use corporate financial software package such CMS (Contracts Management System).
